Position Summary:
The Inbound/Outbound Manager is responsible for overseeing all inbound and outbound transactions for Claremont Foods, including shipping and receiving operations. This role ensures materials, ingredients, packaging, finished goods, and related documentation are received, stored, transferred, and shipped accurately and on time. The Inbound/Outbound Manager leads the shipping and receiving team, maintains transaction integrity within company systems, coordinates with internal departments and external partners, and supports food safety, inventory accuracy, customer service, and operational efficiency.
Essential Duties and Responsibilities:
• Direct and oversee daily inbound and outbound activities, including receiving, put-away, staging, loading, shipping, and transaction completion.
• Ensure all receipts, shipments, inventory transfers, adjustments, and related transactions are completed accurately and promptly in the company ERP system.
• Verify inbound materials against purchase orders, packing lists, bills of lading, lot information, quantities, condition, and required documentation.
• Verify outbound shipments against customer orders, transfer orders, shipping instructions, lot requirements, quantities, and carrier documentation.
• Coordinate dock schedules, carrier appointments, pickups, deliveries, and shipment priorities to support production and customer requirements.
• Lead, schedule, train, coach, and evaluate shipping and receiving team members while ensuring appropriate daily coverage.
• Establish clear performance expectations and monitor productivity, transaction accuracy, attendance, safety, and service levels.
• Maintain accurate lot traceability and inventory movement records from receipt through shipment, including serialized or controlled inventory where applicable.
• Partner with Purchasing, Planning, Production, Quality, Warehouse, Inventory Control, Customer Service, and Logistics to resolve shortages, discrepancies, holds, damages, and scheduling conflicts.
• Ensure materials and finished goods are properly identified, labeled, staged, stored, and handled in accordance with company, customer, quality, and food-safety requirements.
• Review shipping and receiving documents for completeness and accuracy, including bills of lading, packing slips, certificates, pallet counts, seals, and proof-of-delivery records.
• Investigate and reconcile receiving variances, shipment discrepancies, inventory errors, freight claims, and transaction exceptions; document root causes and corrective actions.
• Monitor key performance indicators such as on-time shipping, receiving cycle time, dock-to-stock time, transaction accuracy, shipment accuracy, and inventory discrepancies.
• Develop, document, and improve standard operating procedures for inbound and outbound processes, system transactions, dock controls, and record retention.
• Maintain organized docks, staging areas, and shipping/receiving workspaces in accordance with safety, sanitation, GMP, and audit-readiness standards.
• Ensure compliance with company policies, customer requirements, applicable transportation regulations, food-safety programs, and workplace safety procedures.
• Communicate risks, delays, shortages, damages, and shipment changes promptly to appropriate stakeholders and escalate issues when required.
• Support cycle counts, physical inventories, audits, recalls, traceability exercises, and inventory investigations as requested.
• Perform additional duties as assigned.
Requirements
Knowledge, Skills and Abilities:
• Strong working knowledge of shipping, receiving, warehousing, inventory control, and material-flow processes.
• Demonstrated ability to lead teams, establish accountability, and manage competing operational priorities.
• High attention to detail and a strong understanding of transaction accuracy, inventory integrity, and lot traceability.
• Ability to read and validate purchase orders, sales orders, bills of lading, packing lists, labels, and receiving documentation.
• Strong problem-solving and analytical skills with the ability to investigate discrepancies and implement corrective actions.
