Job description

The Customer Service Representative is responsible for all areas of customer communication and processing customer orders. This position is responsible for scheduling and planning of all customer movements, including inventory
management. Minimize negative impacts to the environment in all areas of operation. Identify and record problems, (non-conformances, incidents and near misses); initiate, provide, implement, and verify solutions to those problems.
Ensure continuous improvement in all areas pertaining to the job which include quality, health, safety, security, and environmental.
Responsibilities

  • Reporting shipments and or receipts to customers per customer specific work instructions
  • Responsible for having all paperwork ready for tank trucks, tank cars, pipelines and or barges
  • Basic customer service problems
  • Customer satisfaction
  • Completing monthly inventories for the customer within two business days after the first business day of the month
  • Cover the duties for other Customer Service Representatives when they are on vacation and/or sick, helping to do their duties as needed
  • Required weekend duty to complete end of month requirements.
  • Responsible for reporting in Bulk Liquid Inventory System (BLIS).
  • Cover the scale as needed, including being part of weekend duty rotation.
  • Reporting shipments, receipts, blends, and inventory to customers per customer specific work instructions
  • Coordinates and assigns to carriers loading and/or unloading times within the established guidelines
  • Distributes completed Bills of Lading per customer specific work instructions
  • Maintains accurate and complete records of shipments, receipts, and inventory via Harvest Inventory System.
  • Prepares and submits reports to the Customer Service Manager as needed.
  • Cross-training on other accounts and be able to fill in for other Customer Service Representatives during vacations or sickness
  • Answering customer inquiries and giving solutions to problems, if needed
  • Obtaining Monthly Forecast from assigned customers as required in Customer Specific Procedures.
Education and Experience
  • High School Diploma or equivalent
  • Valid Driver's License
  • TWIC (Transportation Workers Identification Credentials) for access to IMTT's terminal locations.
Skills and Abilities
  • Clear and concise written and verbal communication skills in the English language.
  • Ability to understand written and verbal communication in the English language.
  • Ability to make decisions in a variable environment.
  • Knowledge of basic mathematics (addition, subtraction, multiplication, division, and fractions).
  • Ability to multi-task in a demanding office environment.
  • Experience in the use of computers including Microsoft Office software.
  • Knowledge of SAP is preferred.
Hours of Work
  • Typical hours of operation are Monday through Friday with rotating eight-hour shifts.
  • This is a non-exempt, hourly position. Employees are scheduled to work assigned shifts, which may include nights, weekends, and holidays. All hours worked must be accurately recorded, and overtime is paid in accordance with FLSA and company policy.
  • Occasional travel may be necessary, sometimes with little or no advance notice.

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift up to 25 pounds, bend, stand, or stoop, as necessary.
  • The ability to see (20/20) and hear either naturally or using corrective lenses or hearing aids
  • Ability to wear and use a respirator and PPE.
  • Because the facility and adjoining facilities handle hazardous materials, the labor force must be able to evacuate quickly from any location of the facility without assistance in an emergency.
