Job Title: Import Coordinator
Job Description
The Import Coordinator (Import Operations Customer Service Representative) supports international cargo movements into the United States by coordinating with importers, transportation providers, and U.S. regulatory agencies. This role operates in a fast-paced environment and requires exceptional communication, customer service, and organizational skills to ensure shipments are processed accurately, efficiently, and in full compliance with all regulations and customer procedures.
Responsibilities
  • Work closely with importers and U.S. Customs to prepare, transmit, clear, examine, and deliver international cargo arriving into the United States.
  • Coordinate with airlines, steamship lines, trucking companies, and other transportation providers to facilitate the smooth movement of shipments into the United States.
  • Collaborate with Participating Government Agencies such as the FDA, FCC, DOT, Fish & Wildlife, EPA, and others to secure timely clearance of incoming cargo.
  • Ensure strict adherence to customer standard operating procedures, applicable agency regulations, and internal company standards throughout the import process.
  • Enter, upload, and compile shipment importation details and commercial invoice data into in-house software systems for transmission to U.S. Customs.
  • Perform preliminary Entry Summary auditing to help ensure accuracy and compliance prior to submission.
  • Partner with customers to clarify and fulfill U.S. Customs entry requirements for air, ocean, truck, and rail shipments.
  • Monitor shipment status using cargo tracking systems and provide proactive updates to customers and internal stakeholders.
  • Support documentation processes including order entry, preparation and review of bills of lading, and related import documentation.
  • Assist with invoicing related to import operations and ensure accurate and timely billing.
  • Communicate with customers via email and phone to address inquiries, resolve issues, and provide best-in-class customer service.
  • Handle multiple shipments and tasks simultaneously while prioritizing workload to meet deadlines.
  • Participate in additional duties and special projects as assigned to support the broader import operations team.

  • Familiarity with bills of lading and related import documentation.
  • Comfort working with multiple stakeholders including carriers, customs, and government agencies.

Work Environment
This is an in-office position within a fast-paced logistics and import operations environment. You will work primarily on computers using in-house software, Microsoft Office applications, internet-based tools, and cargo tracking systems. The role involves frequent email and phone communication with customers, transportation providers, and regulatory agencies. The setting is structured and detail-oriented, with a strong focus on accuracy, compliance, and timely shipment processing.

Pay and Benefits
The pay range for this position is $22.00 - $26.44/hr.
