Job description

SUMMARY OF RESPONSIBILITIES
The Contractor, Back Office System (BOS) Implementation amp; Readiness, is responsible for supporting the implementation, operational configuration, testing, and field readiness of Tropical Smoothie Cafe’s Back Office System (BOS). This role serves as an operational subject matter expert focused on inventory management, recipe setup, labor configuration, operational testing, and troubleshooting.
This position partners closely with Operations, Technology, Menu Innovation, Supply Chain, Training, and vendor partners to ensure the BOS platform is configured accurately and supports operational execution across multiple cafe formats including inline, drive-thru, and kiosk environments.
ESSENTIAL JOB RESPONSIBILITIES
BOS Configuration amp; Operational Setup
  • Configure and maintain recipe builds, ingredient mappings, yields, and inventory conversions within the BOS platform.
  • Set up labor tables and operational deployment scenarios for inline, drive-thru, and kiosk cafe formats.
  • Support setup and validation of use-by labels, prep builds, waste tracking, and batch recipes.
  • Assist with menu, LTO, and inventory configuration to ensure reporting and operational accuracy.
  • Validate inventory, recipe, and labor data integrity across systems.
Testing, Validation amp; Troubleshooting
  • Participate in User Acceptance Testing (UAT) for BOS functionality and operational workflows.
  • Identify, document, and troubleshoot operational defects and system gaps.
  • Support testing for inventory transactions, labor reporting, recipe accuracy, ordering workflows, and reporting functionality.
  • Partner with Technology and vendor teams to resolve operational issues and improve system usability.
  • Provide hands-on troubleshooting support during testing and rollout activities.
Training amp; Documentation
  • Develop operational training resources including training guides, FAQs, quick reference tools, and troubleshooting documents.
  • Support development of webinar materials, operational job aids, and field communication tools.
  • Assist with rollout readiness activities, office hours, and field support during implementation phases.
Cross-Functional Partnership
  • Partner with Operations, Technology, Training, Menu Innovation, and vendor partners to support BOS implementation activities.
  • Translate operational requirements and workflows into effective system configurations and support resources.
  • Support franchisees, field teams, and internal stakeholders during implementation and rollout activities.
REQUIRED EXPERIENCE
  • 3+ years of restaurant operations systems experience.
  • Strong understanding of restaurant inventory management, recipe conversions, and labor modeling.
  • Experience supporting restaurant technology implementations or operational rollouts.
  • Strong troubleshooting, organization, and cross-functional communication skills.
PREFERRED EXPERIENCE
  • Previous experience as an operations management platform superuser strongly preferred.
  • QSR or fast casual restaurant operations experience preferred.
  • Experience with UAT testing, defect management, and operational validation.
  • Experience developing operational training materials and support documentation.
EDUCATIONAL REQUIREMENTS
Bachelor’s degree preferred in Operations, Hospitality, Business, Technology, or related field, or equivalent relevant experience.
WORKING CONDITIONS
Primarily office based role with occasional travel required for testing, training, rollout support, and operational validations.
BUDGETARY RESPONSIBILITY
No direct budget responsibility; accountable for operational configuration accuracy, testing support, and implementation readiness.
