Job description

Job Title: Data Entry Career Navigator Reports to: NCP Lead

Position Classi๏ฌcation: Non-exempt

Wage range: $19 per hour

Primary Objectives of Position: The Data Entry Specialist provides critical support to Workforce Programs by accurately entering, updating, and maintaining participant information, program records, and reporting data. This role ensures that all data is complete, organized, timely, and accessible so the program can track outcomes, meet participant/compliance/audit requirements, and track/document delivery of compliant and high-quality services.

Essential Job Functions:

ยท Receives information and documents regarding customer eligibility and participation from Career Navigators.

ยท Enters information received into the WIT/Case Management system(s) per program procedures and timelines.

ยท Responsible for opening, maintaining, and closing customer files in both the WIT/Case Management and SharePoint systems.

ยท Reviews forms/documents received for accuracy and completeness before entry.

ยท Achieves acceptable accuracy rates for data entry and file maintenance.

ยท Maintains digital filing systems to ensure records are organized and easily retrievable.

ยท Performs regular self-audits to identify errors, missing information, or inconsistencies.

ยท Updates existing records as new information becomes available.

ยท Assures electronic case files meet or exceed programmatic requirements.

ยท Protects confidential information in accordance with program policies and state/federal privacy regulations.

ยท Communicates with staff to clarify unclear information or request missing documentation.

ยท Maintains SharePoint as needed to accurately track and maintain file status and to assure file retention guidelines.

ยท Assists with administrative tasks such as scanning, copying, and preparing documents.

Physical Demands/Work Environment: Physical requirements include carrying/lifting up to 5 pounds, frequently; up to 10 pounds, regularly; and up to 25 pounds, occasionally. Visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to drive an automobile and operate computer keyboard and basic o๏ฌƒce equipment; subject to carrying, lifting, twisting, and reaching to perform essential job functions. Working conditions are primarily in an o๏ฌƒce environment with occasional travel to other locations.

Required Competencies: Extreme Customer Service focus, learning orientation, communication pro๏ฌciency, teamwork orientation, technical capacity and recruiting experience.

Qualifications:

Education: Bachelor's degree in social services, Human Resources, Communications, Business, or equivalent

experience is required.

Experience: Minimum of two years' experience in sta๏ฌƒng, recruiting, or workforce development with at least one years' experience working with computer systems for data entry and data review required.

Previous workforce experience and/or case management experience preferred. Must possess demonstrated pro๏ฌciency with verbal and written communication skills as well as demonstrated customer service skills and computer skills.

Skills/Abilities: Ability to understand and apply program policy; ability to work e๏ฌ€ectively in a fast paced environment; strong organizational skills; strong familiarity with regulatory entities and their laws, policies, and guidance; ability to e๏ฌ€ectively read and interpret written procedures; ability to prepare routine reports; ability to enter data into computerized system; ability to maintain ๏ฌles in compliance with programmatic guidelines; skills in dealing with customers (internal and external) using Extreme Customer Service.

Additional Requirements: Must have valid driver's license and adequate vehicle insurance coverage.
