Position Summary:
Provides support for the Maintenance department through planning, organizing and scheduling work for facilities and equipment while minimizing impacts on production. Monitor key performance indicators to advise changes in preventative and predictive maintenance decisions and assess the organization's computerized maintenance management system (IBM Maximo) to schedule workload accordingly. Supports Maintenance Department Managers and Foremen in scheduling maintenance tasks to include consideration of availability of parts, tools and production schedule. Uses analytical skills and critical thinking to improve departmental performance.
Key Responsibilities/Duties:
CMMS (Maximo) Administration:
  • Manipulate the CMMS, ensuring accurate data entry, timely updates, and proper documentation of maintenance activities.
  • Input and maintain preventive maintenance (PM) schedules, ensuring alignment with operational needs and regulatory requirements.
  • Generate and analyze CMMS reports to track maintenance performance, identify trends, and recommend improvements.
  • Work with CMMS Coordinator and Fleet Manager to manage the asset tagging and tracking program within the CMMS including processing of new equipment forms and tagging of assets.

Maintenance Scheduling and Coordination:
  • Schedule and coordinate preventive, predictive and reactive maintenance tasks with internal teams and external contractors. Maintenance activities apply to buildings, infrastructure, grounds, machinery, container handling equipment and all owned Port assets.
  • Prioritize and allocate resources effectively to ensure timely completion of maintenance activities.
  • Suggest adjustment to inventory levels as maintenance events (recurring or single) occur and track related expenses for regular budget review
  • Review schedules from various sources (Workday employee schedules, Operations Vessel schedule, Equipment availability lists, tenant labor requests) in creating and prioritizing work to be performed.
  • Communicate with Maintenance departments, Operations and Inventory to ensure awareness of maintenance activities and equipment being taken out of and returned to service.
  • Develop relationships with PCM and contractors on projects requiring Maintenance support or may impact maintenance activities.

Compliance and Documentation:
  • Ensure all maintenance activities, inspections, and repairs are documented accurately in the CMMS.
  • Assist with creation of maintenance schedules for new equipment as needed into CMMS. Suggest parts to stock and min/max levels.
  • Author and review SOPs related to maintenance and facility operations.
  • Aid in deviation investigations, ensuring thorough documentation and analysis of root causes.
  • Review PM programs regularly to identify opportunities for improvement.

Support Functions:
  • Support the maintenance of equipment and the management of spare parts inventory.
  • Analyze planning data to define manpower, parts and other resources required to meet terminal demands
  • Perform a variety of activities in planning, scheduling, and documentation, including reports and presenting findings
  • Develop CMMS tool to meet department demands, including maintaining accurate and prompt data collection
  • Perform analysis of workload, staff allocation and material resources by developing flexible forecasting tools
  • Assist in budget preparation and monitoring of department expenses with Maintenance Managers of container and general cargo facilities; analyze and report variances in expenses on a monthly and quarterly basis; provide information on developing trends
  • Review and recommend short- and long-term plans and courses of action when planned maintenance is interrupted
  • Assemble detailed spreadsheets, charts, and graphs to illustrate technical reports; analyze data and reports to provide accurate and timely recommendations to management for decision making purposes
  • Work closely with project management teams and other support staff to monitor terminal projects
  • Participate in Master Plan development for container and general cargo facilities
  • Promote the organization's safety culture and participate with monthly safety audits
  • Act in accordance with Port Houston core values (respect, excellence, accountability, diligence, and you)
  • Perform other duties as required

Education/Experience:
  • Degree in Manufacturing and Industrial Management, Manufacturing Engineering Technology, Project Management, or related major in a public or accredited private academic institution required
  • Minimum of 2 years' experience coordinating and maintaining asset inventory utilizing a computerized maintenance management system in an industrial facility or related business environment
  • Minimum 2 years' experience in data analysis in the facilities maintenance program, specifically in asset management, equipment failure analysis and/or spare part optimization.
  • 2+ years related terminal, manufacturing or industrial equipment knowledge required
