Title/Role: Site Office Manager
Division: Large Specialty Projects
Location: Saline, Michigan
Reporting to: Vice President – General Manager
 
Position Summary: 
E-J Electric Installation Co. is seeking a highly organized and resourceful Office Manager to provide dedicated support to the project team in Saline, Michigan. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can seamlessly manage competing priorities across several senior leaders at once.
What You’ll Do: 
  • Manage the commercial and logistical support tasks associated with the Barn (data center) Project Site Office
  • Manage the Administration of Hiring Members of the IBEW
  • Maintain Employment and Layoff Documentation for Members of the IBEW     
  • Prepare, format, and proofread correspondence, presentations, and reports when required
  • Assist with meeting preparation, including agendas, materials, and follow-up on action items
  • Help coordinate office staff-related events
Responsibilities (including but not limited to): 
  • Anticipate the needs of multiple managers/executives and proactively manage schedules and shifting priorities
  • Manage/Coordinate Routine Office Functions including but not limited to:
    • Conference Room Scheduling
    • Internet Access Contract
    •  Cleaning Services
    • Waste Water Maintenance
    • Personnel Attendance Tracking/Scheduling
    • Office Supply Management
    • Process Hiring Documentation
  • Draft and edit business correspondence as requested with a high level of accuracy and professionalism
  • Prepare briefing materials and presentations for  specified meetings
  • Coordinate cross-departmental communication on behalf of supported managers/executives
  • Track and follow up on action items to ensure timely completion
  • Support special projects and initiatives as assigned
Qualifications: 
  • 5+ years of experience  managing an office, including facility service contracts and administration of a hiring process
  • Exceptional organizational skills with strong attention to detail
  • Excellent written and verbal communication skills
  • Ability to exercise sound judgment and maintain confidentiality
  • Proficiency in Microsoft 365
Requirements: 
  • Strong multitasking abilities and comfort managing shifting priorities in a fast-paced environment
