Position Summary

The HVAC & Plumbing Warehouse Administrator reports directly to the Warehouse Manager and is responsible for supporting daily warehouse operations through inventory management, purchasing support, data entry, warehouse organization, and technician logistics.

This position combines administrative responsibilities with hands-on warehouse duties to ensure materials, equipment, and inventory are accurate, organized, and ready to support our service and installation teams.

The ideal candidate is detail-oriented, dependable, computer proficient, and has previous experience working with HVAC or Plumbing equipment and materials.


Essential ResponsibilitiesInventory & Warehouse Operations
  • Maintain accurate inventory records and material tracking
  • Receive, inspect, and verify incoming HVAC and Plumbing equipment and supplies
  • Organize warehouse inventory for maximum efficiency
  • Pull and stage equipment and materials for daily service and installation jobs
  • Assist with loading and unloading trucks
  • Monitor inventory levels and notify management of low stock
  • Process warranty returns and material credits
  • Perform routine truck inventory audits
  • Maintain a clean, organized, and safe warehouse
Administrative Responsibilities
  • Maintain inventory spreadsheets using Microsoft Excel
  • Enter inventory transactions accurately into company software
  • Assist with purchase orders and vendor documentation
  • Prepare inventory reports and reconciliation records
  • Maintain warehouse files and documentation
  • Coordinate with office staff, technicians, and vendors to ensure timely material availability
Team Support
  • Support technicians by ensuring trucks are stocked and materials are ready
  • Assist the Warehouse Manager with daily operational tasks
  • Help improve warehouse organization and inventory accuracy
  • Perform additional duties as assigned
QualificationsRequired:
  • High School Diploma or GED
  • Previous HVAC or Plumbing industry experience required
  • Experience with warehouse inventory and material management
  • Strong Microsoft Excel and computer skills
  • Excellent organizational and administrative abilities
  • Strong attention to detail
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Valid driver's license with an acceptable driving record
  • Ability to lift and carry at least50 pounds
Preferred:
  • 2+ years of warehouse, inventory, purchasing, or logistics experience
  • Experience with inventory management software or ERP systems
  • Forklift certification or experience
  • Experience coordinating inventory for service or construction companies

Physical Requirements

This position requires regular physical activity, including:

  • Lifting and carrying materials up to 50 pounds
  • Standing and walking for extended periods
  • Bending, kneeling, reaching, and climbing ladders
  • Loading and unloading equipment and materials
  • Working indoors and outdoors in varying weather conditions
