Job Overview:
The Middle School Alliance (MSA) Site Coordinator provides day-to-day operational and administrative coordination for Out-of-School Time (OST) programming at assigned middle school sites, working within clearly defined procedures and under the general direction of MSA leadership. The coordinator carries out established site operations, logistics coordination, family engagement, and data-accountability tasks -- coordinating schedules and communication with program providers, volunteers, and site-based staff on clearly defined tasks, without formal responsibility for supervising their work -- and escalates unusual or non-routine issues to MSA leadership for resolution.
Major Responsibilities:Responsibilities include, but are not limited to:
Site Operations & Program Coordination
Serve as the primary on-site coordinator responsible for overseeing daily MSA operations and implementation, including coordination of related logistics, schedules, and communication with program providers and site-based staff on clearly defined tasks.
Coordinate daily program logistics including scheduling, room allocation, meal distribution, transportation coordination, dismissal procedures, and site transitions.
Support scheduling and coordination of program providers to ensure alignment with site needs, school schedules, and MSA priorities.
Monitor daily site operations to ensure programming is implemented with consistency, efficiency, and fidelity.
Serve as the primary point of contact for site-based operational communication between school staff, providers, transportation, security, and MSA leadership.
Troubleshoot routine operational challenges within established procedures and proactively communicate concerns and solutions, escalating unusual or non-routine issues to MSA leadership.
Assist with coordination of site calendars, events, special activities, and school-based initiatives.
Ensure site implementation aligns with MSA operational expectations, procedures, and standards.
Student Recruitment & Family Engagement
Collaborate with the Manager of Partnerships & Community Engagement to support student recruitment and enrollment efforts.
Support outreach and engagement efforts for students, families, teachers, and school personnel.
Assist with family communication regarding programming schedules, attendance expectations, transportation updates, and special events.
Promote inclusive access to OST opportunities and support student participation across diverse student populations.
Build and maintain positive relationships with youth and families to encourage consistent engagement and participation.
Support implementation of student and family engagement activities throughout the school year.
Data Management & Reporting
Work closely with the Data & Evaluation Manager to support accurate and timely attendance tracking, data collection, and reporting.
Monitor registration, attendance, participation trends, and Average Daily Attendance (ADA) data.
Support implementation of evaluation tools, surveys, assessments, and data collection processes, including SAYO-Y and other program quality measures.
Ensure site-based data systems and reporting procedures are completed accurately and consistently, following established formats and deadlines.
Use data insights to identify operational challenges and support continuous improvement, in consultation with the Data & Evaluation Manager.
Maintain organized and accurate records related to attendance, participation, case management, schedules, and operational documentation.
Program Quality & Continuous Improvement
Collaborate with the Network Quality Manager to support implementation of NextUp quality standards and Youth Program Quality Initiative (YPQI) practices.
Participate in professional development, coaching, training, and quality improvement activities.
Support program providers in creating safe, engaging, and youth-centered learning environments.
Monitor program implementation and communicate concerns related to quality, consistency, youth engagement, or operational effectiveness to MSA leadership.
Gather and communicate feedback from youth, families, providers, and school staff to support continuous improvement.
Relationship Management & Communication
Build and maintain collaborative relationships with school administrators, teachers, providers, families, community partners, and youth.
Facilitate clear, timely, and professional communication between all stakeholders.
Attend and support school-based meetings, provider meetings, site leadership meetings, trainings, and MSA planning meetings.
Represent NextUp and the MSA professionally within school communities and partner spaces.
Safety, Supervision & Risk Management
Support implementation and monitoring of established safety and supervision procedures during OST programming.
Ensure students are properly supervised during transitions, programming, transportation, and dismissal.
Maintain awareness of site safety concerns and communicate incidents promptly to MSA leadership.
Assist with incident reporting, documentation, and follow-up procedures, per established protocols.
Assist with emergency response coordination and communication when necessary, following established emergency procedures.
Administrative & Organizational Support
Maintain organized operational records and documentation.
Assist with inventory management, supply coordination, and site preparation.
Support preparation of operational updates, reports, and presentations.
Monitor implementation timelines, deadlines, and deliverables related to site operations.
Follow site-based operational procedures and systems established by MSA leadership.
Bachelor's degree is preferred in education, youth development, nonprofit management, public administration, social work, or a related field.
Minimum of 2-3 years of related experience in youth development, education, afterschool programming, or community-based programming.
Proficient in English and Spanish, both spoken and written.
Experience working with middle school youth, school communities, or after-school programming strongly preferred.
Experience with attendance tracking, data systems, and reporting processes preferred.
Strong organizational, time management, and project coordination skills.
Ability to manage day-to-day operational responsibilities and site-based priorities within clearly defined procedures, escalating exceptions to MSA leadership.
Demonstrated ability to build collaborative relationships and function effectively within a team environment.
Strong communication skills, both written and verbal in Spanish and English.
Ability to solve problems, adapt, and manage multiple priorities in a fast-paced environment.
Knowledge of positive youth development and youth engagement practices preferred.
Strong attention to detail and commitment to high-quality implementation.
Proficiency in Microsoft Office Suite and database/data management systems preferred.
Ability to exercise sound judgment and maintain professionalism in school and community settings.
Primarily an in-person, school-based environment across assigned middle school sites, with standard office/administrative time for planning and reporting.
Hours during programming are 11am-7pm. Biweekly staff meetings are held at IRC office.
Compensation: (Pay Rate: $28.94-$29.90/hr). Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
