Job description

Position Summary
The HR/AR Generalist provides administrative and operational support across both Human Resources and Accounts Receivable functions. This position is responsible for assisting with employee relations, recruitment, onboarding, benefits administration, HR recordkeeping, compliance, invoicing, payment processing, account reconciliation, and collection activities. The role requires strong organizational skills, confidentiality, attention to detail, and the ability to manage multiple priorities.
Human Resources Responsibilities
  • Coordinate recruitment activities, including posting positions, reviewing applications, scheduling interviews, and communicating with candidates.

EXCEL EXPERIENCE A MUST!!!!!!!
  • Facilitate new-hire onboarding, orientation, and completion of employment documentation.
  • Maintain accurate and confidential employee personnel files and HR records.
  • Process employee status changes, promotions, transfers, terminations, and other personnel updates.
  • Assist employees with questions regarding company policies, benefits, payroll, leave, and HR procedures.
  • Support benefits enrollment and communicate benefit information to employees.
  • Assist management with employee relations matters, performance documentation, and corrective-action processes.
  • Track attendance, leave requests, PTO, and other employee information.
  • Assist with payroll preparation by reviewing employee information, timekeeping records, and payroll changes.
  • Support compliance with federal, state, and local employment laws and company policies.
  • Prepare HR reports, correspondence, employment verification documents, and other administrative materials.
  • Participate in HR projects, employee engagement initiatives, training, and policy implementation.

Accounts Receivable Responsibilities
  • Prepare and issue customer invoices accurately and on schedule.

  • Post and apply customer payments to appropriate accounts and invoices.
  • Monitor accounts receivable aging reports and identify past-due balances.
  • Contact customers regarding outstanding invoices and follow up on payment arrangements.
  • Research and resolve billing discrepancies, payment issues, credits, and account disputes.
  • Reconcile customer accounts and maintain accurate account balances.
  • Process credit memos, adjustments, refunds, and account corrections as authorized.
  • Maintain detailed records of collection activities and customer communications.
  • Assist with month-end closing and accounts receivable reconciliation.
  • Prepare AR reports for management, including outstanding balances, collections, and aging summaries.
  • Work with internal departments to resolve invoicing and customer account issues.
  • Maintain accurate financial documentation in accordance with company procedures and accounting requirements.

Administrative Responsibilities
  • Maintain confidential HR, employee, customer, and financial information.
  • Prepare reports and spreadsheets using Microsoft Excel and other business systems.
  • Respond professionally to employee, customer, vendor, and management inquiries.
  • Organize electronic and physical records to ensure documentation is accurate and accessible.
  • Assist HR, accounting, and management teams with special projects as needed.
  • Identify opportunities to improve administrative, HR, billing, and collection processes.

Qualifications
EXCEL EXPERIENCE A MUST!!!!!!!
  • Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred.
  • Previous experience in Human Resources, Accounts Receivable, accounting, payroll, or office administration preferred.
  • Knowledge of HR practices, employee documentation, and general employment compliance.
  • Understanding of accounts receivable, invoicing, payment application, collections, and account reconciliation.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with HRIS, payroll, ERP, or accounting software is beneficial.
  • Strong written and verbal communication skills.
  • Excellent organizational, problem-solving, and time-management abilities.
  • High level of accuracy and attention to detail.
  • Ability to handle sensitive and confidential information appropriately.
