Human Resources Specialist

The Human Resources Specialist manages key HR programs and employment processes for the Harold B. Lee Library, supporting a workforce of more than 600 faculty, staff, and student employees. The position oversees student employment, coordinates staff and faculty recruitment, creates supervisor training, maintains accurate personnel documentation and records, and serves as a primary resource to supervisors and staff employees in applying established University and Library HR policies and practices. Through effective program administration, training, cross-training, and mentoring initiatives, the position strengthens employee development, service continuity, and workforce readiness across the library.

What you'll be doing in this position

Employment

• Oversee student employment (450-500 employees)
  • Educate student supervisors on University and Library student employment policies and regulations, and serve as the library's contact point for student employment issues
  • Consult with student supervisors on resolving Library student employment issues in coordination with HR BP
  • Oversee and optimize Library student employee orientation and training programs
  • Oversee processing of requests related to hires, terminations, pay rate changes, etc. for all Library student employees
  • Manage implementation of and adherence to Library-wide student employee policies and work expectations
  • Hold supervisor training to update supervisors on best practices

• Facilitate staff employment (100 employees)
  • Maintain data accuracy across Workday transactions, including employee status/location updates and supervisory assignments
  • Assist in the evaluation and processing of all staff salary changes
  • Work with HR BP and Leave & Accommodations manager as staff FMLA questions and situations arise
  • Coordinate with supervisors as vacant staff positions are posted and filled, and provide training to Hiring Committee members
  • Train supervisors in posting staff positions in Workday and on hiring, training, and retention best practices
  • Function as contact point with COE (Center of Expertise), and maintain communication with hiring supervisors to ensure compliance with university policies and procedures
  • Oversee, optimize, and manage employee cross-training and mentoring programs to develop and build employee succession pathway
  • Advise staff employees on compensation policies related to overtime, conference/training attendance, and travel

• Maintain and support the complex recruitment process for library faculty positions (50+ employees)
  • Advise faculty search committees on procedure and process
  • Facilitate applicant review and interview processes for Library faculty positions
  • Serve as HR representative on faculty Search Committees
  • Assist with Faculty records management
  • Create and maintain a list of LDS faculty for recruitment purposes

Administrative

• Hire, train, and supervise 2-4 student employees who support the Library HR Department
• Assist with department budget and financial transactions: purchases, accounting, and transactions required for day-to-day operations
• Maintain and optimize all Library employee records management, including job descriptions, ensuring confidentiality and regulatory compliance
• Ensure library directories, organizational charts, and library personnel databases are kept up to date
• Plan, coordinate, and execute all department events, including Library Employee Day
• Demonstrate and promote integrity, collegiality, civility, and respect for others
• Meet with individuals and consult on how to address employee issues in their areas
• Proactively identify repeated HR services that can be automated, freeing up time for more personalized service and problem-solving
• Assist HR BP in gathering HR metrics and in the programming of continuous improvement projects

Training and Employee Development

• Remain current with new technologies as they apply to library orientation and training programs
• Attend annual HR conferences as approved by manager
• Participate in professional development opportunities, including HR certifications and/or annual HR conferences, as approved by manager.

Other

• Serve on Library councils, committees, task forces, and project teams as assigned
• Serve on University committees as requested
• Attend Administrative Council when HR BP is unable to attend

What qualifies you for this role

Education/Experience

Minimum Required:

• Two years of human resources experience or other related office management experience

Preferred:

• Professional Human Resources certification (SHRM-CP, SHRM-SCP)
• Three plus years of human resources experience
• A Bachelor's degree in human resources, organizational behavior, business management or related field; or equivalent combination of education and professional HR related experience

Skills, abilities, knowledge, licenses, certifications:

Required:

• Knowledge of employment law, employee training and development, and human resource management
• Exceptional written and verbal communication skills, including the ability to interface positively and professionally with stakeholders inside & outside of BYU
• Strong conflict resolution skills
• Ability to cultivate and manage relationships at all levels
• Critical thinking, problem solving & analysis, solution creation & implementation
• Excellent interviewing, hiring, and training skills
• Strong technological skills, including proficiency in office, training, and presentation programs and software
• High personal integrity, discretion, and judgment required for sensitive and confidential personnel issues
• Ability to meet deadlines and work well under stressful situations

Preferred:

• In-depth knowledge of the university's recruitment, hiring policies, and regulations for faculty, administrative and staff, and student employees
• Thorough understanding of the roles of the various divisions/departments of the library
• Excellent leadership, project management, and presentation skills
• Ability to develop and implement training programs and workshops in a group or individual setting

Pay Grade: 50

Typical Starting Pay: $25.00-$32.50 ($52,500-$68,000)

The actual compensation offered will take into consideration internal equity and may vary based on the candidate's job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
