Expected Number of Hours: 30 every two weeks ( not a guarantee of hours )

Position Summary:

As an integral member of the Medical Day Clinic team, the Clerical Associate plays a key role in delivering exceptional patient-centered care by ensuring the efficient coordination of administrative, scheduling, and communication functions within the department. Responsibilities include, but are not limited to, patient registration; entering and maintaining accurate patient demographic information in Meditech/Cerner; verifying and updating health insurance information; facilitating and coordinating communication within the clinic and with external partners; and processing, scheduling, and booking physician orders, including systemic therapy, blood products, infusions, and specialized testing.

The Clerical Associate is also responsible for coordinating and booking referrals to the oncology program, clinic appointments, diagnostic testing using OCEANS and other patient-related services to support timely access to care. Working collaboratively within a multidisciplinary team of nurses, physicians, pharmacists, and allied health professionals, this position is essential to the seamless coordination of oncology and general medical day care services, contributing to a positive patient experience and the effective delivery of high-quality care.

The Clerical Associate must maintain strict confidentiality of all patient information in accordance with the Personal Health Information Protection Act (PHIPA).

This is position will work days. The physical demands of the role may include but are not limited to sitting, standing, walking, pushing, pulling, lifting and bending. This position contributes to ensuring there is a safe environment for patients, staff and visitors. Other duties as assigned and as per job fact sheet.

Skills and Qualifications:

  • Medical Office Administration program diploma required
  • Medical Terminology certificate required
  • Experience preferred in a health care setting
  • Computer experience required (outlook, Teams)
  • Meditech (including Community Wide Scheduling) preferred. 
  • Experience with Cerner/Oracle and Oceans preferred
  • Experience with order entry (Lab and DI modules) and admissions required
  • Excellent interpersonal and communication skills (both written and verbal) essential
  • Must be able to deal compassionately and effectively with patients and families
  • Must be able to manage multiple demands in a fast paced multidisciplined environment
  • Self-directed and works well in a team setting
  • Attention to detail is required
  • Demonstrated ability to attend work on a regular basis is required
