Payroll and Human Resources Specialist

Reports To: Human Resources Manager

FLSA Status: Exempt

Work Schedule: Monday – Friday, normal business hours. Additional hours may be required to support executive travel, board meetings, company events, and other business needs.

Date: August 13th, 2026

Position Summary

The Payroll and Human Resources Specialist is responsible for accurately processing payroll and providing administrative support for a variety of human resources functions. This position ensures compliance with federal, state, and local payroll regulations while assisting with onboarding, benefits administration, recordkeeping, and HR programs.

Essential Functions

Payroll Administration

  • Process payroll accurately and on schedule.
  • Review and verify employee time records, payroll changes, deductions, and adjustments.
  • Maintain payroll records and ensure compliance with wages and hour laws.
  • Process garnishments, tax levies, child support orders, and payroll deductions.
  • Reconcile payroll reports and resolve discrepancies.
  • Coordinate year-end payroll activities.
  • Respond to employee payroll inquiries.

Human Resources Support

  • Assist with recruiting, job postings, interview scheduling, and candidate communication.
  • Coordinate onboarding and orientation processes.
  • Maintain personnel files and HR records.
  • Assist with benefits administration and leave tracking.
  • Support employee engagement, training, and recognition programs.
  • Respond to routine employee questions regarding policies and procedures.

Payroll Accounting & Reporting Support

  • Prepare, enter, and/or support payroll-related journal entries.
  • Review payroll general ledger coding for accuracy
  • Assist with reconciliation of payroll clearing accounts

Administrative Functions

  • Maintain strict confidentiality of employee information.
  • Assist with payroll, benefits, and HR compliance audits.
  • Generate reports and support special projects.

Safety Responsibilities

  • Follow all company safety policies, rules, and procedures at all times.
  • Comprehend, retain, and comply with established safety programs and training requirements.

Qualifications

Required

  • Associate degree in Human Resources, Accounting, Business Administration, or related field, or equivalent experience.
  • Minimum 2 years of payroll processing experience.
  • Experience with payroll systems and HRIS platforms.
  • Strong attention to detail, organizational, and communication skills.
  • Proficiency in Microsoft Office, especially Excel.

Preferred

  • Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field.
  • 3-5 years of combined payroll and human resources experience.
  • Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC)
  • Experience with the Paylocity HRIS Platform
  • Experience with multi-state payroll processing.
  • Advanced Excel skills including pivot tables, lookups, and reporting.
  • Experience in manufacturing.
