Seed IP Law Group is seeking a Human Resources Assistant. This role supports the firm's people operations through accurate, timely, and well-coordinated execution of core HR and administrative functions, contributing to a positive employee experience and consistent internal service delivery. The position requires a high level of organization, prior administrative or HR-related experience, and the ability to manage multiple responsibilities with accuracy and discretion.

Job Purpose
Under the direction of the Human Resources Supervisor, the Human Resources Assistant provides operational and administrative support across HR functions, including onboarding, offboarding, benefits support, HRIS maintenance, employee relations support, recruiting coordination, and firmwide administrative processes. This role also serves as a front-line HR resource for employees, responding to routine questions and escalating complex matters appropriately.

Human Resources and Payroll Support

  • Maintain accurate and confidential personnel records with a high degree of discretion and care
  • Maintain HRIS data, perform updates, and support system maintenance and basic reporting
  • Assist with HRIS data integrity checks and routine audits
  • Draft payroll change requests

Benefits Support

  • Support benefits administration, including enrollments, changes, and employee inquiries
  • Assist with benefits communication and education during onboarding and enrollment periods
  • Coordinate with Payroll and HR Supervisor on deductions, updates, and related changes

Onboarding and Offboarding

  • Coordinate onboarding logistics, checklists, and system setup
  • Ensure completion of required documentation and orientation materials
  • Support offboarding processes, including system access updates and exit coordination

Travel and Event Logistics

  • Coordinate business travel arrangements, itineraries, and related logistics
  • Support travel logistics and event coordination
  • Support planning and execution of employee events, appreciation activities, and retreats
  • Support monthly all-firm meetings and Director office hours planning and logistics
  • Assist with firm calendar management and scheduling coordination

General Administrative Support

  • Assist with scheduling, coordination, and firmwide communications
  • Provide administrative support for leadership and committees
  • Administer CLE program logistics, tracking, and continuing education reporting for attorneys and staff
  • Perform monthly corporate credit card reconciliations and related documentation
  • Support HR-related projects and business development tracking activities
  • Manage membership renewals and maintain tracking records

Qualifications

At a Minimum, We'd Like You to Have

  • Strong organizational skills and attention to detail
  • Effective prioritization and email management skills
  • 1+ year of HR experience and/or 3+ years of administrative or operations experience
  • Demonstrated ability to handle confidential information and sensitive matters with the utmost discretion and care
  • Strong written and verbal communication skills
  • Ability to handle confidential information appropriately
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel)

Ideally, We'd Like You to Have

  • Associate's degree or equivalent combination of education and experience
  • Interest in long-term HR career development
  • Experience with HRIS platforms, applicant tracking systems (or similar data management tools)
  • Experience with accounting or financial systems
  • Experience supporting employee services, events, logistics, or operations
  • Proficiency with Zoom and design tools such as Canva or Adobe Creative Suite

Physical Requirements

  • Ability to stand for short periods if needed.
  • Ability to participate in frequent virtual meetings and phone calls, maintaining focus and clear communication throughout.
  • Frequent reading and interpretation of information on computer screens and printed materials.
  • Occasional bending, reaching, and lifting up to ten (10) pounds.

Compensation & Benefits
The salary range for this position is $58,000-$67,500, depending on experience, with eligibility for a performance-based bonus. Seed offers a comprehensive benefits package, including employer-paid medical, dental, and vision coverage; 401(k) with match and profit sharing; health savings or flexible spending accounts for healthcare, flexible spending dependent care and transportation; an annual wellness benefit; access to a mindfulness app; and employee assistance programs. This hybrid role requires in-office presence two days per week.
