Job description

Catholic Charities of the Archdiocese of Chicago partners with mission-driven people and organizations across Cook and Lake counties to witness a message of mercy and hope to a world in need by improving lives and nourishing spirits; strengthening and empowering people, families, and communities; and committing to being present to our times through the eyes of faith.

Job Summary

The HRIS Specialist is responsible for maintaining and supporting human resource information systems, ensuring data accuracy, system security, user access management, and overall system performance.

Role Responsibilities:

  • Maintain and monitor the HRIS systems (ex. Dayforce, Zendesk) to ensure data accuracy, system integrity, and consistent performance. Assist with system configurations, testing, and data validation during implementations, upgrades, or changes. Monitor system performance and coordinate issue resolution with IT and vendors as needed. Execute daily operational tasks such as user provisioning, table maintenance, and system documentation.

  • Maintain and monitor user access, security roles, and permission levels in alignment with compliance policies. Ensure data integrity by conducting regular audits and reconciling discrepancies. Support reporting needs with accurate, compliant data for audits, government reporting, and internal dashboards. Document system configurations, workflows, and policies to support accuracy and compliance.

  • Provide Tier 1 and Tier 2 support to P&C staff and end users for HRIS-related questions or errors. Assist in developing user guides, FAQs, and training materials for new system features and processes. Conduct system training sessions or refreshers for employees and managers as needed. Share best practices and insights with People Partners to improve end user adoption and data accuracy. Partner with HRIS vendors as needed.

  • Partner with internal teams (P&C, IT, Payroll, Finance) to resolve technical issues and coordinate solutions. Support the implementation and rollout of new modules and integrations by gathering requirements and documenting processes. Participate in testing cycles and system optimization efforts across cross-functional teams. Communicate system limitations or enhancement requests based on user feedback and workflow impact.

  • Analyze data trends and system usage patterns to recommend workflow automation or process improvements. Gather feedback from users to identify usability issues and contribute to evolving HR technology strategy.

  • Engage in ongoing learning, training, and skill development, seeking and applying feedback to continuously improve performance and contribute to team and organizational success.

  • Support change management efforts by ensuring communication, training, and documentation align with rollouts. Continuously improve the employee system experience by applying insights from performance metrics and user input.

Team Member Responsibilities:

  • Exhibit alignment with the team's clear goals that are mission-focused, grounded in Catholic Charities history, and tied to action.
