Salary Range: $21.09/hr - $25.43/hr
Reports to: Principal
Position Summary:
The Secretary II Student Services position provides high-level administrative support to the school counseling department, assists with the administration of the Career and Technical Education (CTE) program and serves as the state testing coordinator. This position plays a critical role in student schedule forecasting and state-required data reporting. It requires exceptional organization, communication, and multitasking skills.
Essential Requirements:
- High school diploma or equivalent.
- Four (4) years general office experience; or any combination of education and experience which would provide the applicant with the desired skills, knowledge, and ability required to perform the job; two (2) years of secretarial experience, preferably in a school setting.
- Demonstrated proficiency in Google Suite, Microsoft Office, and student information systems (e.g., Synergy).
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent organizational and time management skills.
Essential Duties and Responsibilities (other duties may be assigned):
Counseling & Scheduling Support
- Coordinate and assist with the development of the master schedule, including entering forecasting data for all grades (812) in the student information system (e.g., Synergy).
- Support schedule changes, load balancing, and schedule cleanup in collaboration with counselors and administration.
- Assist with student placement to ensure graduation requirement tracking.
- Provide clerical assistance to counselors, registrar, and front office as needed.
- Maintain spreadsheets for teacher aide assignments and placements.
- Provide back-up support to other clerical positions and the office in case of absence or work overload.
CTE Program Coordination
- Serve as the CTE Program Administrator.
- Update and maintain student participation records in coordination with teachers and the Oregon Department of Education (ODE).
- Submit annual CTE reports for funding purposes.
- Attend annual training sessions and ensure program compliance.
- Support dual credit and Expanded Options programs by managing agreements and tracking student registration with community colleges (e.g., SOCC).
State Testing Support
- Assist in preparation for state testing by generating student rosters, preparing SSID cards, and coordinating materials and accommodations.
- Communicate testing protocols and schedules to staff and ensure accurate implementation.
Event Planning & Communications
- Lead planning and execution of Class Night, senior slide shows, and other graduation-related activities.
- Create and update bulletin boards with college and scholarship information.
- Collaborate with external organizations (e.g., Recruit Hippo) for student job placements.
- Perform other duties as assigned
Working Conditions:
- Work is performed in a standard office environment with frequent interruptions.
- Must be able to work under pressure and meet multiple deadlines.
- May be required to work evenings for events such as Class Night, FAFSA nights, and parent/student presentations.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods.
- Must be able to lift up to 25 pounds occasionally.
- Use of standard office equipment including computers, telephones, copiers, and printers.
Certificates, Licenses, Registrations, Bonding and/or Testing Required:
- Possess and maintain a valid First Aid card as required
- Criminal Justice Fingerprint Clearance/FBI Background check
- Blood borne Pathogen Training/Hepatitis B Shot Series Training as required
- Pre-employment Drug Screen
- Safe Schools Training as required
