Job description

Operations Assistant
Position Summary
The Operations Assistant serves as a central point of contact for day-to-day operational and administrative needs within the facility. This role handles routine requests independently and ensures more complex questions or issues are directed to the appropriate department or team member.
The Operations Assistant works closely with Managers, Supervisors, HR, Security, Onboarding, Customer Service, and other teams to support daily operations, maintain accurate information, and help ensure requests and issues are addressed efficiently.
This position requires strong communication, organization, computer proficiency, and the ability to manage multiple priorities in a fast-paced environment.
1st Shift: 7:00 AM - 3:30 PM
Peak season schedule may vary based on business needs.
Daily Duties & Responsibilities
  • Answer incoming phone calls and route calls or requests to the appropriate person or department
  • Monitor express orders and communicate with departments regarding order status and potential delays
  • Assist with routine timekeeping questions and issues, including missed punches, hours, and schedule verification
  • Print employee ID labels and barcodes as needed
  • Add or update employee department information as needed
  • Complete general administrative and data-entry tasks
  • Communicate out-of-stock items and order-related issues requiring assistance to Customer Service
  • Prepare and distribute daily evacuation attendance reports
  • Send updated evacuation reports approximately 30-45 minutes after the start of the shipping operation
  • Prepare and maintain the daily Excel backlog report
  • Update department schedules as needed
  • Respond to routine operational requests and direct more complex issues to the appropriate team
  • Provide administrative and operational support to Managers, Supervisors, HR, Security, Onboarding, and other departments
  • Complete additional tasks and assignments as directed

Qualifications & Skills
  • Intermediate or higher proficiency in Microsoft Outlook, Teams, Word, and Excel; proficiency may be verified as part of the selection process
  • Ability to type at least 50 words per minute with speed and accuracy
  • Bilingual English/Spanish preferred
  • Experience routing calls and messages to various business units
  • Strong attention to detail
  • Strong written and verbal communication skills
  • Strong interpersonal skills and ability to communicate effectively with employees at different levels of the organization
  • Excellent time-management and organizational skills
  • Ability to prioritize and manage multiple requests simultaneously
  • Strong computer and technical aptitude, including the ability to learn web-based applications and other systems
  • Ability to work independently while knowing when to escalate or redirect an issue

The expected hourly pay range for this position is $17.50 per hour. Actual compensation will be determined based on experience, skills, internal equity, and other factors permitted by law.
