Job Title: HR Assistant
Location: Stow, MA 01775
Duration: 4+ Months (Possible Extension)
Shift: Monday – Friday, 9:00 AM – 3:00 PM (Flexible Hours Available)
 


Position Summary:

We are seeking a detail-oriented and highly organized HR & Payroll Administrative Specialist to support essential human resources functions. This includes payroll processing, applicant tracking, onboarding coordination, and maintaining employment records. The ideal candidate will have a minimum of three years of experience in payroll or financial transactions, strong communication skills, and the ability to manage sensitive information with professionalism and discretion. This role is critical to ensuring accurate and timely HR operations and contributes to a responsive, compliant, and service-oriented HR team.


Key Responsibilities:
  • Process payroll transactions and support personnel-related administrative tasks.

  • Review employment applications and resumes; coordinate applicant matching and candidate communications.

  • Verify hiring documentation for accuracy and completeness prior to offer generation.

  • Manage candidate progress through the offer process via MassCareers and maintain records in HR/CMS (PeopleSoft).

  • Respond to candidate inquiries regarding onboarding, offers, and hiring logistics.

  • Set up and maintain personnel files for new hires and process benefit enrollment documents (e.g., GIC benefits, retirement plans, union membership).

  • Track and support various HR processes, including:

    • Training compliance

    • Performance review cycles

    • Salary adjustments, promotions, and employment status changes

    • Quality control of HR documentation and communications

  • Accurately enter and maintain HR/payroll transactions in PeopleSoft (HR/CMS).

  • Assist the HR team in ensuring records are accurate, complete, and compliant with internal policies and regulatory standards.


Qualifications:

Required:

  • At least 3 years of experience in payroll processing, HR administration, or financial data handling.

  • High attention to detail with proven accuracy in managing HR and payroll data.

  • Ability to manage confidential information with discretion and sound judgment.

  • Excellent interpersonal and communication skills; comfortable working with employees, applicants, and senior leadership.

Preferred:

  • Proficiency in Microsoft Excel, including pivot tables.

  • Experience with HR or payroll systems such as PeopleSoft, HR/CMS, or similar platforms.

  • Familiarity with HR practices in public sector or unionized environments is a plus.
