Job Description/Duties:

The Building People, LLC, has a position open for Administrative Support Specialist to provide support to government agency. The primary role of Central Support is to coordinate requests for reservations and logistical support related to the Auditorium, meeting spaces, training rooms and special events within the HQs building. As such, the contractor shall:

  • Assist with Central Support coverage in addition to parking garage duties such as monitoring the garage (tracking that individuals who do not use their space are providing it for daily use; versus no-shows)
  • Tour the HQs parking garage daily to identify parking violations.
  • Perform other tasks involving extended walking to collect information or perform inspections.
  • Initiate contact and monitor response related to the Materiel Management Branch (MMB) for delivery of paper, furniture, shuttle services, and other related delivery/labor requirements.
  • Communicate logistical requirements to the appropriate service providers.
  • Assist customers in defining their service and/or reservations
  • Managing space reservations system and requests for conference and training
  • Coordinating delivery and quality of reserved space and requested conference
  • Coordinating and tracking customer service and repair requests to service
  • Maintaining a daily report of upcoming events
  • Receiving and dispatching daily trouble calls for services related to building operations (repairs, housekeeping, elevators, safety) and maintaining s database and track completion.
  • Maintaining reports detailing activities, trends, and complaints
  • Providing a primary point of contact (POC) or management of special events and physically coordinating special event set-ups and logistical support services
  • Managing logistical service requirements related to internal / external employee moves, event management services, sign management, furniture moves and repairs, as well as telephonic and computer relocations.
  • Operating the HQ parking, handling receipts and daily assignments, and touring the HQs parking garage daily to identify parking
  • Touring the HQs building to conduct housekeeping inspections
  • Maintaining a working knowledge of the building layout and general information related to the business
  • Initiating contact and monitoring response related to delivery of paper, furniture, shuttle services, and other related delivery/labor
  • Escorting contractors for service calls
  • Inspecting conference rooms
  • Managing and coordinating Motorpool for use, authorizations, scheduling and return of vehicle processes, as well as making sure motor pool vehicles are on battery tenders periodically to ensure they start when needed. 
  • Maintaining of motor pool vehicles to include refueling (if needed), taking to car wash, taking for maintenance and repairs, and general upkeep.
  • Communicating logistical requirements to the appropriate service providers
  • Managing shredding service
  • Occasionally provide conference and event support
