Atlas Rental Property is one of the fastest growing property management companies in the Southeast with more than 2000 active doors in North and Central Alabama, Georgia and Tennessee. We are seeking an Administrative Coordinator for our Madison based satellite office. This individual will partner directly with the in-market Property Manager and Birmingham based operations teams to provide administrative, financial, legal and customer service support for our North Alabama tenants and vendor partners.
Key Responsibilities by Category
OFFICE ADMINISTRATION
  • Maintain established office hours for satellite office
  • Answer and manage incoming calls, emails, and tenant inquiries
  • Maintain electronic records and documentation
  • Assist with lease preparation and lease signings
  • Schedule appointments, meetings, and inspections
  • Assist with marketing efforts for available properties
  • Update property marketing descriptions and listing content as needed
  • Order and maintain office supplies, inventory and routine cleaning
  • Ensure office space remains organized, stocked, and presentable
  • Remove and/or coordinate the removal of property signage, lockboxes, and other marketing materials as needed
ACCOUNTS RECEIVABLE & PAYMENT PROCESSING
  • Accept and post rent and deposit payments via drop box and in-person
  • Process tenant payments and maintain accurate records
  • Follow up on delinquent accounts as directed
  • Assist with collection efforts and payment arrangements
  • Assist with the preparation and posting of eviction notices and other required legal notices as needed
LEGAL & COURT ADMINISTRATION
  • Post eviction notices and other required notices
  • Prepare court documentation and filings
  • Attend court as needed
  • Track judgments, payment plans, and legal outcomes
  • Coordinate communication with attorneys and legal vendors
SECTION 8 ADMINISTRATION
  • Manage all tasks and duties related to Section 8
  • Coordinate inspections and required documentation
  • Ensure compliance with housing authority requirements
VENDOR SUPPORT
  • Assist with vendor onboarding paperwork and recordkeeping
  • Coordinate supply pickups and administrative vendor needs
Role Requirements
Minimum of 2 years experience in a customer service, sales support or administrative role
    • Experience in Property Management is a plus
  • Experience with established KPIs and/or deadlines
  • Proficient with computers and technology
  • Outgoing, positive and professional demeanor
  • Open-minded and receptive to feedback with a focus on continued growth
  • Self-motivated and comfortable in a collaborative, fast-paced environment
  • High school diploma required, some college or alternate accreditation preferred
Compensation
The compensation package for this role includes a base annual salary of $45,000-$50,000 DOE as well as annual bonus based on company profit after six months in role. We offer a comprehensive benefits package with immediate eligibility, generous PTO accrual and 401K with employer contribution after one year of service. We also observe eight paid holidays and a family friendly schedule that includes no mandatory nights or weekends.
