Overview

The Administrative Assistant provides administrative support to on-site project management and staff, including administrative functions, accounting reporting and serve as a liaison for employees.

Work Location can vary between office and project site, construction environment. (Both located in NW Tampa area.)

Responsibilities
  • Ensure forms are available for the Projects teams as required. 

  • Maintains calendar of events and dates for location. 

  • Schedules meetings for location. 

  • Orders supplies for location. 

  • Tracks Time and Material items for monthly billings. 

  • Collects data and distributes daily, weekly and monthly reports as required. 

  • Prepares internal and external communications for project site / team as required. 

  • For project site, collects hours and project site information and enters the information and hours worked into time keeping software for hourly project craft employees. 

  • Assists Project Team with administrative support as required. 

 

Qualifications
  • Minimum of three (3) years of experience in a construction environment preferred.
  • Associate’s degree in business or related field is preferred.
  • Ability to stay current on software and hardware that can benefit company.  
  • Self-motivated, and detail oriented. 

  • Must have excellent organizational skills. 

  • Must have excellent time management abilities.  

  • Ability to read and process documents such as contracts and bid documents, statistical reports, operating and maintenance instructions, and procedure manuals.  

  • Ability to produce routine reports and correspondence.  

  • Ability to speak effectively with general management, customers, vendors, visitors or employees of organization.  

  • Ability to communicate effectively in written and verbal correspondence. 

  • Ability to prioritize tasks in accordance to urgency. 

  • Must possess a willingness to accept and follow the direction of others.
