Reports to:Building Materials Sales Manager
Position Overview: The Inside Sales Support team member provides administrative, estimating, customer service, and project support to the Building Materials sales department. This role works closely with contractors, builders, architects, designers, homeowners, vendors, and internal sales staff to provide product information, prepare accurate estimates and quotations, process orders, coordinate schedules and deliveries, and support residential building material projects. The ideal candidate is organized, detail-oriented, customer focused, and capable of managing multiple projects in a fast-paced environment.
Essential Duties and Responsibilities:
  • Review project plans, specifications, architectural drawings, and bid documents to support accurate estimates, quotations, and proposals.
  • Perform material takeoffs and budgeting for windows, doors, millwork, hardware, and related building material and installation projects.
  • Generate quotes, bids, estimates, proposals, sales orders, and related documentation in accordance with company procedures.
  • Provide technical support, including reviewing or assisting with design drawings, shop drawings, product specifications, and installation details.
  • Assist customers with product selection and recommend solutions based on project requirements, specifications, timelines, and budgets.
  • Maintain up-to-date product knowledge across windows, doors, millwork, hardware, lumber, and related building material categories.
  • Demonstrate products using samples, catalogs, displays, and current sales materials.
  • Coordinate project timelines, special orders, lead times, and delivery schedules to support customer deadlines.
  • Coordinate with vendors and manufacturers regarding pricing, availability, lead times, warranties, specifications, and special-order products.
  • Partner with purchasing, warehouse, store operations, delivery teams, and other internal associates to ensure product availability, pricing accuracy, order accuracy, and timely job site deliveries.
  • Maintain organized project files, bid documentation, customer records, account activity, estimating documentation, expense reporting, and pipeline tracking within CRM systems.
  • Remain proficient in company software systems, including BisTrack, IQ, or similar, and Microsoft Office 365.
  • Respond to customer correspondence, including emails and voicemails, within 24 hours.
  • Develop and maintain strong, long-term relationships with contractors, builders, architects, designers, homeowners, and trade professionals.
  • Maintain a strong understanding of contractor sales cycles, job site operations, and project-based selling strategies.
  • Exercise sound judgment and problem-solving to support project, order, and customer needs.
  • Maintain a high level of customer service, professionalism, accountability, and communication in all customer and team interactions.
  • Invest in ongoing professional development, including product knowledge, systems training, and company policies.
  • Participate in team initiatives, training programs, and collaborative sales efforts.
  • Support a culture of safety, organization, teamwork, professionalism, and a positive customer experience across all workspaces.
  • Ability to work in office, showroom, warehouse, and field environments as needed, including occasional job site or customer visits.
  • Requires occasional nights and weekends for customer events, showroom appointments, or staffing coverage.

Skills/Qualifications:
  • Lead by example; approachable and supportive to associates and customers.
  • Maintain intellectual curiosity with a willingness to learn and grow professionally.
  • Strong interpersonal and communication skills with the ability to work effectively with customers, coworkers, contractors, vendors, and trade professionals.
  • Bachelor's degree preferred; equivalent experience considered.
  • 5+ years of sales, estimating, project management, or building materials experience preferred.
  • Strong understanding of contractor sales cycles, job site operations, and project-based selling.
  • Experience with estimating, quoting, bid packages, material takeoffs, and project coordination.
  • Ability to read blueprints, architectural plans, and specifications for budgeting and estimating building material and installation projects.
  • Strong analytical skills with the ability to read, analyze, and interpret sales reports, financial reports, merchandising data, and estimating information.
  • Self-motivated with strong problem-solving and decision-making abilities.
  • Excellent time management, organizational, and multitasking skills.
  • Detail-oriented and able to manage multiple priorities in a fast-paced environment.
  • Proficient in CRM systems and sales software such as BisTrack, IQ, or similar platforms, and Microsoft Office 365.
  • Strong written and verbal communication skills.
  • Ability to lift and carry 50+ lbs. as needed.
  • Valid Massachusetts driver's license with a clean driving record.
  • Bilingual English/Spanish skills highly desirable.
