Job description

A Well-known U.S.-based Specialty Insurance Platform is seeking a new Full-Time/Permanent Executive Assistant, Marketing to support the Head of Business Development. Candidates should have a minimum of 3-7+ years of applicable experience, ideally working in a marketing, business development, and/or related department, and a Bachelor's degree is required. They should be incredibly polished and professional, client-facing, proactive, detail-oriented, organized, accustomed to working in fast-paced, dynamic environments, and possess excellent interpersonal and communication skills (both verbal and written). This is a fantastic company with an unbelievable, collaborative culture and little to no turnover ever!
  • Salary depends on experience (110-120k base), plus paid overtime and discretionary bonus eligibility.
  • Hours are 9:00am-5:00pm, with flexibility as needed. Hybrid work schedule (3 days in office / 2 days remote).
Responsibilities:
  • Calendar & Meeting Management: Manage an extremely active calendar, scheduling and rescheduling meetings across time zones, while proactively resolving conflicts.
  • Travel Coordination: Arrange complex domestic and international travel, including flights, hotels, and ground transportation, while navigating potential travel complications
  • Marketing Component:
  • LinkedIn Management: Coordinate social media activities, including drafting and posting LinkedIn updates for work anniversaries, firm-wide events, and holiday messages.Coordination: Assist with organizing and attending industry conferences and internal events
  • Administrative Support: Act as the primary gatekeeper for the Head of Business Development, handling correspondence and preparing meeting materials.
Required Qualifications:
  • Minimum 3-7+ years of applicable administrative experience, ideally within marketing, business development, and/or a related department.
  • Bachelor's degree required.
  • Excellent interpersonal and communication skills (both verbal and written).
  • Strong MS Office Suite skills.
  • Proactive, detail-oriented, and organized.
  • Polished and professional; client-facing.
  • Accustomed to multi-tasking in fast-paced, dynamic environments.
