Key Responsibilities for the Hotel Event Planning Manager include:
Client Consultation & Event Coordination
  • Work closely with clients to understand their event needs, goals, and preferences.
  • Plan and coordinate all event details, including room setup, catering, audiovisual needs, and décor.
  • Conduct site visits and pre-event meetings with clients to finalize details and ensure expectations are met.

Collaboration with Internal Teams
  • Partner with the sales, catering, and banquet teams to ensure seamless event execution.
  • Communicate event details and requirements to all departments, including operations, culinary, and front office staff.
  • Oversee event logistics to ensure a smooth flow from setup to breakdown.

Budgeting & Contract Management
  • Develop and manage event budgets to ensure costs align with client agreements.
  • Prepare contracts, event orders, and proposals while ensuring compliance with hotel policies.
  • Monitor billing and payments to ensure financial accuracy.

Execution & On-Site Event Management
  • Serve as the primary point of contact for clients before and during events.
  • Ensure all event components-such as catering, room setup, and technology-are executed flawlessly.
  • Troubleshoot any issues that arise during the event to maintain client satisfaction.

Post-Event Follow-Up & Client Relations
  • Gather client feedback to assess event success and identify areas for improvement.
  • Foster long-term relationships with clients to encourage repeat business.
  • Maintain a high level of customer service and professionalism to uphold Hyatt's brand reputation.

Sales & Revenue Contribution
  • Identify upselling opportunities for catering, room blocks, and additional services.
  • Support the sales team in securing new event business through referrals and networking.
  • Stay updated on industry trends and competitor offerings to enhance Hyatt's event services.
