Job description

ESSENTIAL JOB FUNCTIONS:

  1. Manage the General Manager's complex calendar, appointments, meetings, and travel arrangements.
  2. Coordinate and prepare agendas, presentations, reports, correspondence, and meeting materials.
  3. Serve as the primary point of contact for internal and external communications directed to the General Manager.
  4. Screen and prioritize calls, emails, and requests with professionalism and discretion.
  5. Take meeting minutes and follow up on action items to ensure timely completion.
  6. Coordinate executive meetings, leadership events, and hotel functions.
  7. Maintain confidential files, records, and sensitive business information.
  8. Assist with preparing monthly reports, business reviews, budgets, and operational presentations.
  9. Anticipate the General Manager's needs and proactively resolve administrative challenges.
  10. Assist with planning executive visits, ownership meetings, brand audits, and special events.
  11. Prepare reports, presentations, and project updates for leadership.
  12. Provide administrative support for routine HR functions and daily office operations.
  13. Assist with onboarding logistics, new hire orientation materials, and employee documentation.
  14. Help coordinate associate recognition programs, engagement activities, and employee events.
  15. Maintain organized personnel files and HR records while ensuring confidentiality.
  16. Assist with scheduling interviews, training sessions, and meetings.
  17. Perform any other job related duties as assigned.

REQUIRED SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills in English.
  • Self-motivated, highly organized, and able to manage multiple priorities with minimal supervision.
  • Professional appearance, demeanor, and sound judgment at all times.
  • Strong proficiency in Microsoft Office Suite and other office productivity tools.
  • A level of AI knowledge (for example how Chat GBT can benefit the building of minutes, reports etc.)
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent interpersonal skills with the ability to communicate effectively with executives, associates, clients, and guests using tact and diplomacy. Ability to coordinate calendars, meetings, travel, and other administrative functions in a fast-paced environment.
  • Previous hotel experience is required.
