Job description

Hope Administrative Services, DBA as Central Transportation System, Scobey Moving and Storage, Spectrum Relocation Group, and International Moving and Warehouse. Whether directly through our own offices and service centers, or in concert with a worldwide network of service partners, we are positioned to assist our customers with any relocation, anywhere in the world. We are experience you can trust!

The Admin Support works to support management, dispatchers and drivers and other departments as needed. Responsible for managing emails, answering phones, accurate filing, documentation review, data entry and providing reports.

Responsibilities:

  • Communicate with drivers, provide delivery updates, requesting proper origin and destination documents.
  • Review driver origin and destination documentation for accuracy and locate any missing information.
  • Provide all required driver documentation to accounting for processing.
  • Provide administrative support to Local Operations Manager.
  • Scan and file documentation and other items as needed.
  • Gather assigned information and organize it in excel format reports and/or place in appropriate company electronic system.
  • Responsible for entering all accounts payable invoices and ensures payments.
  • Provide administrative support as needed to all areas of the branch.
  • Answers incoming calls and answer questions as able and/or directs to appropriate department.
  • Maintain and contribute to a safe work environment by adhering to policies and procedures as outlined in the Company Safety Program.
  • Perform any other task or assignment as deemed necessary by the organization.

Education and/or Experience:

  • Be able to understand and follow instructions.
  • Ability to keep confidentiality.
  • Less than high school education; or up to one-month related experience or training; or equivalent combination of education and experience.
  • Good verbal and written communication skills.
  • Must be able to read and write the English language with proficiency sufficient to communicate with co-workers, clients and visitors. Understand and adhere to verbal and written company policies.
  • Proven ability to apply attention to detail, role-related accuracy and task follow-through.
  • Knowledge of MS Excel, Word, Power Point, and other Microsoft Office products, preferred.
  • Polite, positive, proactive, and professional demeanor.
  • The ability to prioritize and complete multiple tasks in a timely manner.
