This position plays an important role in connecting technology, data, and people to support the academic success of our students and advance our mission of forming young people for lives of faith, purpose, and service.

Job Summary

The Student Information Coordinator ensures the reliability, integrity, and effective use of student data systems across the school community-including academic, admissions, and advancement departments. The manager leads system upgrades, data reporting, and user training, with a primary focus on PowerSchool and related software platforms, and serves as a key resource to school leadership on data-informed decision-making.

Key Responsibilities

  • Maintain SIS environments, manage user accounts and security settings, and recommend improvements based on best practices.
  • Manage school year setup and annual SIS rollover, including calendar configuration.
  • Facilitate data exchange between PowerSchool, WISEdata, and other platforms.
  • Provide training and support to staff in the use of data systems.
  • Develop and maintain an SIS disaster recovery plan.
  • Prepare timely and accurate data reports for school leadership.
  • Manage student enrollment, records, and transcript processes, including NCAA eligibility reporting.

Essential Functions

Student Information System (SIS) Management

  • Serve as the school's primary point of contact for SIS operations and data management, reporting directly to the Principal.
  • Train and support school staff on data systems related to data entry, security, reporting, and printing.
  • Import/export data between PowerSchool, WISEdata, and third-party systems.
  • Act as liaison with PowerSchool regarding updates, data requirements, and deadlines.
  • Keep leadership informed of SIS-related issues and state reporting requirements.
  • Manage schedule creation and maintenance throughout the school year, including student scheduling, course changes, and section balancing in PowerSchool.
  • Support the annual master schedule build in PowerScheduler, including constraint-solving for course and section alignment across grade levels.
  • Manage PowerSchool user permission levels (e.g., Data Export Manager access) for staff who require reporting or data export capabilities.
  • Ensure FERPA compliance in all data handling, access permissions, and record-sharing decisions.

Software Maintenance

  • Maintain software utilized by the school, including Schoology, TalkingPoints, PowerSchool Behavior Support, Hapara, and other platforms as assigned.
  • Serve as the school's primary point of contact for setup, configuration, and troubleshooting of these platforms.
  • Coordinate account provisioning, updates, and data integration between these platforms and PowerSchool.

Enrollment, Records & Transcripts

  • Process new student enrollments and withdrawals in PowerSchool, including the transfer of cumulative records to and from other schools.
  • Maintain and archive student cumulative records in compliance with FERPA and Archdiocesan/state retention requirements.
  • Manage production and secure distribution of official and unofficial student transcripts
  • Serve as the school's NCAA Eligibility Center contact, maintaining the approved core-course list and uploading transcripts for student-athletes.

Attendance & Assessment Data

  • Monitor the accuracy data reported to the state to produce the annual school report card; troubleshoot and correct discrepancies.
  • Oversee report card and progress report generation each grading period.
  • Maintain records of standardized and state assessment scores (e.g., SAT, AP, ACT, WISEdata-reported assessments) in PowerSchool.

Data Management & Reporting

  • Support the collection, organization, and analysis of disaggregated data for internal and external stakeholders (e.g., CRN, Archdiocese, state, and federal agencies).
  • Execute special data projects as assigned.
  • Troubleshoot data-related issues for staff and external partners.
  • Attend relevant training sessions or conferences as needed.
  • Prepare documentation, procedures, reports, and other materials as required.

Other Duties

  • Stay informed on current trends and updates in student data systems and SIS platforms.
