In this role, you'll be at the center of the action-coordinating schedules, shipments, installations, documentation, and project requirements while partnering with Sales, Purchasing, Operations, Logistics, Accounting, and Project Managers. Your ability to anticipate needs, solve problems, communicate clearly, and keep the details on track will help ensure projects are completed on time, on budget, and with an exceptional customer experience.
The ideal candidate must have B2B customer service, delivery & install and/or distribution industry experience. Experience in the foodservice industry is a plus.

Job Title: Project Coordinator
Primary Objective: Coordinate the day-to-day flow of project orders to ensure on-time delivery, customer satisfaction, and project budget are achieved.
Primary Functions: This position is responsible for the coordination and scheduling of product shipments and all required resources to ensure achievement of defined project requirements, from order entry through project close-out. The Project Coordinator must ensure key quality processes and adhere to company policies, partnering closely with Sales, Operations, Purchasing, Accounting, and Project/Account Managers to deliver seamless customer experience.
Reports To: Operations Manager
Scheduled Hours: Full-time / Mon-Fri / 8:00am-5:00pm
FLSA Status: Non-exempt Hourly
Work Arrangements: Hybrid (Six-month on-site onboarding required, followed by a hybrid schedule of four in-office days and one remote day per week, contingent upon Manager approval & successful remote work technology setup)
Key Areas of Responsibility
Order & Project Setup
  • Generate system Projects through Auto Quotes conversions or imports.
  • Process Return Authorizations and Vendor Return Authorizations, conduct Project PO maintenance and manage project changes.
  • Ensure financials in NetSuite match the contract and change order.

Project Coordination & Delivery
  • Coordinate projects to ensure install requirements, budget, and on-time delivery are achieved, communicating requirements and coordinating installation with all parties.
  • Work directly with Purchasing, Sales, Operations, Logistics, and Accounting to coordinate timely delivery and manage discrepancies and changes through resolution.
  • Measure performance against the project dashboard for quality, on-time delivery, and budget.
  • Facilitate project meetings and schedule reviews, communicating lessons learned, gaps, and wins; take on other duties as assigned to support team performance and client satisfaction.

Documentation & Close-Out
  • Obtain owner's manuals from manufacturers and prepare Owner's Manual and Warranty Binders and other close-out documentation required per job.
  • Coordinate and submit required project documentation to the customer and Ops team, including the Contractor Punch List where applicable.
  • Schedule Equipment Certified Start-Up Inspections where applicable.

Customer & Account Relationship
  • Maintain a thorough understanding of customer contracts and work closely with fellow Coordinators to ensure support across all accounts.
  • Partner with Sales, Project Managers and/or Account Managers, and Customer Service to ensure account rete

Requirements
  • Strong verbal and written communication skills; interact effectively and professionally with customers and internal teams.
  • Ability to manage multiple priorities, competing demands, and demanding time frames in a fast-paced environment with frequent change, maintaining composure under pressure.
  • Detail-oriented and highly organized, with strong analytical, problem-solving, and decision-making skills.
  • Self-motivated with the confidence to take the lead on planning and proactively managing project responsibilities.
  • Embodies a team-oriented attitude capable of building trusted working relationships with key colleagues.
  • Excellent computer skills; proficient in Microsoft applications; experience with NetSuite or similar ERP/order management systems preferred.

Education and Training
  • Associate's degree or minimum of 5 years of business-to-business customer interaction experience required.
  • Project, delivery, or installation scheduling experience preferred.
  • Ability to read blueprints and understand layouts/designs a plus.
  • ServSafe Level 2 and CFSP certifications a plus.
