ABOUT THE ROLE
 
WHAT WE’RE LOOKING FOR:
The Manager, Fundraising & Special Events is a mission-driven, detail-obsessed, highly organized events professional who will support and help execute Project Healthy Minds’ ambitious slate of fundraising and cultivation events. Reporting to the Senior Strategic Events, Fundraising & Production Lead, this role plays a critical part in producing elevated, culturally resonant experiences—from large-scale signature fundraisers to intimate VIP salon dinners, corporate partner activations, and national parlor gatherings.
 
Project Healthy Minds' events are a critical engine for fundraising, storytelling, and community building. This role ensures that every experience reflects the excellence, creativity, and care our mission deserves. The Manager, Fundraising & Special Events will be an essential partner in scaling a national events program that sparks deeper connection, inspires generosity, and brings the movement for mental health to life.
 
This person thrives in a fast-paced, creative environment and is excited by the challenge of helping a growing nonprofit build a world-class events program. They bring a strong production foundation, impeccable project management, and a collaborative mindset. The ideal candidate is equal parts logistics pro, relationship builder, and brand ambassador.
 
HOW YOU’LL CONTRIBUTE:
 
Event Planning & Production Support
Work closely with the Senior Strategic Events, Fundraising & Production Lead to execute the full Project Healthy Minds events calendar, including signature fundraisers, salon & parlor events, corporate activations, and wrap-around programming events.
Support end-to-end production, including timelines, run-of-show drafts, vendor coordination, venue walkthroughs, deliveries, load-in/out schedules, staffing plans, and onsite event management.
Manage logistics for smaller events independently, serving as the day-to-day lead under the Senior Strategic Events, Fundraising & Production Lead's strategic direction.
Assist with event design & vendor sourcing.
Maintain strong relationships with event production companies, A/V teams, rental partners, caterers, printers, photographers, and transportation/lodging partners.
Track vendor deliverables, deadlines, and invoices; support budget reconciliation.
 
Guest Experience & Donor Stewardship
Ensure a seamless guest experience across invitation, registration, arrival, program, and post-event follow-up.
Support thoughtful stewardship practices, including personalized follow-up, recognition touchpoints, and donor engagement tracking.
 
Project Management & Internal Coordination
Manage guest lists, RSVP tracking, seating charts, and check-in tools in close collaboration with the Revenue team.
Support talent, speaker, and guest communications, including event prep materials, schedules, and hospitality.
Support creation and maintenance of detailed event project plans, production schedules, and internal workstreams.
Support the creation of briefing documents, scripts, call sheets, run-of-shows, floor plans, and internal memos.
 
Fundraising & Development Support
Partner with the Revenue team to support sponsorship deliverables and activation needs.
• Assist with solicitation materials, sponsor fulfillment, and post-event stewardship touchpoints.
• Help prepare reporting, recaps, and metrics for internal and external audiences.
• Support prospect research related to events and cultivation efforts, including identifying, qualifying, and briefing potential donors, sponsors, and hosts in partnership with the Development Operations teams.
• Assist with building and maintaining prospect pipelines tied to events, including tracking engagement history, relationships, and next steps in the CRM.
• Prepare concise donor and prospect briefing materials (profiles, talking points, giving context) to support senior leadership, board members, and hosts 
• Support pre and post-event fundraising strategy by helping identify follow-up opportunities, stewardship priorities, and cultivation pathways stemming from event engagement.
 
ABOUT YOU
 
OUR IDEAL CANDIDATE:
5–7+ years of experience in special events, production, nonprofit fundraising events, or related fields.
Strong project management skills -- you love a timeline, a tracker, and a well-organized Google Drive.
Comfort working with vendors, production teams, and high-profile stakeholders.
A proactive, “no job too big or too small” attitude; willingness to dive in at every level of execution.
Excellent communication skills, professionalism, and discretion when working with VIP guests, donors, and partners.
Strong aesthetic sensibility and interest in design, culture, talent, and storytelling.
Experience with CRM, project management, guest list platforms, or event management tools is a plus (e.g., Salesforce, Monday.com, Zkipster).
Ability to thrive in a fast-moving environment with shifting priorities.

The annual salary for this role is between $80,000 and $100,000.
