Job description

Our client is looking for a highly organized, energetic, and resourceful Executive Team Coordinator to become a key part of their growing Atlanta team. This is a great opportunity to help lead an international healthcare startup as they scale and expand their U.S. market presence!

This is more than a traditional administrative role, this individual will serve as a critical partner to executive leadership, helping bring structure, organization, and connection to a rapidly growing global team. Supporting multiple international leaders, coordinating across regions, and creating a strong team culture, this person will play a key role in helping the company build and scale its U.S. operations.

The ideal candidate is someone who thrives in a fast-paced environment, loves solving problems, and can take a complex mix of priorities and turn them into an organized plan. This is an exciting opportunity for someone who wants ownership, visibility, and the ability to make a meaningful impact within a growing healthcare technology organization.

Responsibilities

  • Provide executive support to senior leadership, with a primary focus on calendar management, meeting coordination, and helping optimize executive priorities.
  • Partner with multiple executives and leadership team members to coordinate schedules, align priorities, and support day-to-day operational needs.
  • Help manage the challenges of a global organization by coordinating across U.S. and international teams and time zones.
  • Coordinate travel arrangements and logistics for executive leadership and team members.
  • Support Atlanta office operations, including supplies, office access, visitors, vendor coordination, onboarding logistics, compliance requirements, and general workplace needs.
  • Plan and execute company events, team lunches, offsites, conferences, client dinners, and culture-building initiatives.
  • Partner with global administrative teams to strengthen communication and collaboration across regions.
  • Create structure around competing priorities by proactively identifying needs, improving processes, and keeping initiatives moving forward.
  • Serve as a trusted resource and “go-to” person who helps connect people, information, and resources across the organization.

Requirements

  • Ability to work onsite in the Atlanta office 2–3 days per week.
  • 3+ years of experience in an Executive Assistant, Executive Coordinator, Team Assistant, Office Coordinator, Operations Coordinator, or similar role.
  • Experience supporting multiple leaders, teams, or departments in a fast-paced environment.
  • Strong organizational and prioritization skills with the ability to manage multiple competing priorities.
  • Familiarity and expertise with Office365, Microsoft Teams, or other productivity suites.
  • Ability to operate independently, take initiative, and bring structure to ambiguous situations.
  • Excellent communication skills with the ability to build relationships across all levels of an organization.
  • Comfortable working with global teams and coordinating across different time zones.
  • Experience in a startup, healthcare, technology, fintech, or other high-growth environment preferred.
  • Strong attention to detail with a proactive, solutions-oriented mindset.
