JOB SUMMARY
We are seeking an Operations Manager who will take ownership of the day-to-day execution of our agency; ensuring clients are staffed, caregivers are supported, and operations run smoothly without disruption. The ideal candidate must be a proven self-starter that desires to grow with a startup agency and has a proven track record of excellence in the field.

The Operations Manager will track performance metrics, conduct interviews, negotiate competitive pay rates, and provide hands-on onboarding support—all while delivering a positive and seamless candidate experience. In addition, this role involves regular travel within the assigned territory to meet with clients and prospects, strengthening relationships and ensuring service quality.

DUTIES

The person in this position must be able to perform the following essential job functions

  • Oversee and manage all daily business operations

  • Ensure compliance with Georgia homecare regulations and company policies

  • Oversee compliance and annual audits and surveys

  • Manage caregiver and client schedules and requests for time off. Manage call-offs and end ensure coverage.

  • Schedule visits with clients and caregivers on behalf of clinical staff.

  • Ensure a seamless and professional experience for all candidates, from initial contact through onboarding, enhancing the employer brand.

  • Negotiate Pay Rates: Skillfully negotiate terms and conditions with prospective caregivers to close deals that align with company goals while ensuring customer satisfaction.

  • Provide Onboarding Support: Collaborate with internal teams to ensure seamless delivery of new starts and provide ongoing support to resolve caregiver issues or concerns.

  • Build and maintain relationships with referral sources and community partners.

  • Manage referrals. Convert leads into active clients through timely follow-up

  • Assist with billing, invoicing, and payroll tasks.

  • Conduct monthly calls to clients to drive customer service and meet regulatory compliance.

QUALIFICATIONS AND REQUIREMENTS

  • Education: Bachelor’s degree in Nursing, Healthcare Administration, Social Work or a related field. LPN or RN license will be considered in place of a Bachelor's degree.

  • Experience: At least 2-3 years of experience in office management and home health, homecare or healthcare management

  • Knowledge: Familiarity with Medicaid Waiver and Veterans programs. Familiarity with EVV systems and homecare compliance

  • Communication Skills: Excellent verbal and written communication skills to effectively interact with clients, caregivers, healthcare professionals, and external teams.

  • Attention to Detail: Strong organizational skills with an eye for detail

  • Empathy and Compassion: Demonstrated ability to empathize with clients and their families while maintaining professionalism and confidentiality.

  • Adaptability: Ability to thrive in a fast-paced environment and handle multiple tasks simultaneously while maintaining a positive attitude.

  • Problem-Solving: Strong critical thinking and problem-solving skills to assess client and caregiver needs and provide appropriate solutions.

  • Technology Proficiency: Proficient in using electronic health records (EHR) systems and MS Office suite. Willingness to learn and ability to use new applications.

  • Ethical Standards: Maintain a high level of integrity, adhering to ethical standards and HIPAA confidentiality guidelines.
