Job description

Job Requirements
POSITION SUMMARY
The Clinical Staffing Coordinator manages and coordinates the daily staffing needs of inpatient nursing units to ensure appropriate staffing levels that support quality patient care across Health First Hospital Division. The Clinical Staffing Coordinator monitors staff assignments, and adjusts schedules in response to census fluctuations, filling open shifts, and ensuring compliance with hospital division policies and regulatory requirements. The Clinical Staffing Coordinator works closely with nursing leadership and Associates to optimize workforce management and ensure a smooth and efficient staffing process.
PRIMARY ACCOUNTABILITIES
  1. Coordinates and manages daily staffing for inpatient nursing units, ensuring adequate coverage for all shifts.
  2. Reviews staffing data in staffing system in an objective manner, formulate and execute staffing plan to ensure adequate coverage across all departments.
  3. Adjusts staffing assignments based on patient census, acuity levels, and unit needs while adhering to safe staffing guidelines and hospital policies.
  4. Identifies and fills open shifts using internal Associates, float pool, per diem Associates and external agency resources as necessary.
  5. Communicates accurate clinical staffing information and appropriate staffing data to departments to adequately assign resources for those with greatest need.
  6. Monitors and documents staff attendance, call outs, and tardiness, notifying nursing units and leadership of any concerns.
  7. Maintains compliance with clinical staffing guidelines and adhere to staffing matrixes according to approved nursing and financial parameters.
  8. Retains and updates schedules and timecards in hospital's scheduling system, ensuring accuracy and real-time updates.
  9. Collaborates with nurse managers, charge nurses, and nursing supervisors to proactively address staffing shortages and scheduling conflicts.
  10. Communicates staffing updates, schedule changes, and urgent needs clearly and efficiently to all stakeholders.
  11. Utilizes multiple systems and applications to access and update information and collaborate with others within and beyond team to support the delivery of equitable staffing.

MINIMUM QUALIFICATIONS
  • Education: Associate's degree in a relevant field.
  • Work Experience: None
  • Licensure: None
  • Certification: None
  • Work Experience In Lieu of Education: High School Diploma and an additional five (5) years' experience in staffing.
  • Skills/Knowledge/Abilities:
  1. Proficient in Microsoft Office - Teams, Outlook, Word, Excel, PowerPoint, etc.
  2. Ability to speak and understand English language both in written and verbal instructions.
  3. Have sound organizational skills to include time management, critical thinking and problem-solving.
  4. Familiarity with scheduling software and/or electronic timekeeping systems (e.g., Kronos).
  5. Must be able to learn new concepts including staffing requirements and hospital staffing workflows.
  6. Excellent communication and problem-solving.
  7. Attention to detail and follow through with task completion.
  8. Ability to collaborate with nursing staff and nursing leadership.
  9. Ability to foster and develop a collaborative team environment.
  10. Must have ability to work in often-stressful environment.
  11. Must have ability to concentrate on multiple priority activities.
  12. Must have critical thinking and problem-solving skills.

PREFERRED QUALIFICATIONS
  • Education: Associate's degree in healthcare or business administration, or a relevant field.
  • Work Experience: Experience in healthcare staffing, scheduling, workforce management, or in an inpatient hospital environment

PHYSICAL REQUIREMENTS
  • Majority of time involves sitting or standing; occasional walking, bending, and stooping.
  • Long periods of computer time or at workstation.
  • Light work that may include lifting or moving objects up to 20 pounds with or without assistance.
  • May be exposed to inside environments with varied temperatures, air quality, lighting and/or low to moderate noise.
  • Communicating with others to exchange information.
  • Visual acuity and hand-eye coordination to perform tasks.
  • Workspace may vary from open to confined.
  • May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
