POSITION PURPOSE:

The Behavioral Health Assistant will aid Behavioral Health Services and its patients and will maintain a professional clinic environment.


ESSENTIAL FUNCTIONS:

  • Maintain a professional appearance when greeting patients in a friendly and professional manner.
  • Utilize organizational skills to maintain files, schedule appointments, and keep accurate records of incoming calls, mail, packages, and faxes.
  • To utilize and maintain training, maintain competency in compliance with operating procedures as they relate to office procedures.
  • Answer multi-line telephone system and direct all incoming phone calls to the appropriate staff. Take complete and accurate messages.
  • Provide professional customer service by greeting patients in a polite, prompt, helpful manner and provide necessary instruction and direction.
  • Obtain and accurately and efficiently enter new patient demographics; accurately and efficiently update insurance and patient information with each visit to maintain accuracy for billing.
  • Consistently provide patients with informed consents and behavioral health screeners and review information with patients to ensure understanding.
  • Schedule future patient appointments utilizing EMR. Books, coordinate and reschedule appointments as needed, as well as making reminder calls.
  • Maintain filing and ensure security of medical records, performing specialized function and special projects as directed.
  • Process referrals daily to ensure access remains open for patients.
  • Perform clerical and support duties as assigned by the BH Office Supervisor and the VP for Behavioral Health Services.
  • Collect all co-pays and balances as required by office policies. Understand and apply payments to balances.
  • Maintain organized office area, pay attention to detail and follow instructions.
  • Distribute incoming mail, utilizing established timelines and accuracy.
  • Follow opening and closing procedures according to office guidelines.
  • Maintain clean and orderly waiting area including reading materials.
  • Maintain a working knowledge of various available programs offered by Aviva Health.
  • Maintain strictest confidentiality; adhere to all HIPAA guidelines/regulations.
  • Organize services, seminars, and travel arrangements.
  • Assist with written materials as they pertain to Behavioral Health Services.
  • Assist in patient tracking procedures.
  • Follow all Aviva Health policies and procedures.


QUALIFICATIONS:

  • Minimum of High school diploma/ GED.
  • Valid Oregon State driver license and insurable driving record.
  • Minimum of two years relevant work experience in health care; behavioral health field preferred.
  • Working knowledge of office procedures, and proficiency with standard office equipment, including computers and multi-line phone system; MS Office experience and knowledge of HIPAA.
  • Organized and detail-oriented; ability to learn, retain, and apply training consistently.
  • Proven effective interpersonal communication skills.
  • Ability to work effectively with staff, local agencies, and individuals from different cultural and ethnic backgrounds in a friendly and professional manner.


WORKING CONDITIONS:

Must be able to perform the following physical requirements:

  • Remain in a stationary position most of the day while performing administrative duties.
  • Move or traverse periodically throughout the day throughout the office.
  • Operate equipment most of the day: computer, multi-line phone, other standard office equipment.
  • Ability to communicate information and ideas clearly and accurately so others will understand; ability to interact with patients and staff clearly.
  • Able to move or transport up to 25 pounds while lifting office supplies or assisting patients.
  • Work indoors in heat-controlled environment 100% of the day.
  • OSHA Exposure Category Category #2: The normal work routine involves no exposure to blood, body fluids, or tissues.
  • In-person work during normal office hours.
