Job Description ProspectBlue is leading the search for a Head of Administration on behalf of a growing, mission-driven organization operating in a highly regulated, service-oriented environment. This is a senior leadership role for an experienced, collaborative executive who blends financial rigor, people leadership, and operational partnership. The Head of Administration will oversee Finance, Human Resources, and Administration, helping build scalable systems, strengthen financial planning and analysis, ensure compliance, and support high-performing teams during a period of continued growth.

Key Responsibilities: Executive Leadership Serve as a key member of the executive leadership team, partnering closely with ownership and the President. Align financial, people, and administrative strategy with organizational growth and mission objectives. Provide data-driven insights to support strategic decision-making.

Financial Leadership & FP&A Lead all FP&A functions, managing a team of three plus an outsourced analyst. Own annual budgeting, multi-year forecasting, and monthly financial reporting with variance analysis. Develop cash-flow models, scenario planning, executive dashboards, and KPIs.

Maintain and enhance data models related to market share, referrals, placements, and forecasting. Oversee accounting operations, internal controls, and billing to government entities and Medicaid. Act as liaison to external CPA firms to ensure timely state and federal filings.

Partner with program leadership to ensure services align with reimbursable requirements. Lead risk management, insurance coordination, and administrative compliance. Oversee contract engagements and collaborate with outside legal counsel as needed.

Human Resources & People Operations Provide strategic leadership for HR and a team of two, covering recruitment, onboarding, and employee relations. Oversee talent management, workforce planning, performance management, compensation, and benefits. Ensure compliance with state and federal labor laws and policies.

Support leaders in building a strong, values-aligned culture. Ensure HR systems and processes scale effectively with organizational growth. Champion professional development and retention initiatives.

Administrative & Office Operations Oversee office management and administrative operations across four locations (with a fifth planned). Manage a team of six supporting office operations, facilities, IT equipment, and vehicle fleet. Improve operational efficiency through systems, reporting, process optimization, and technology adoption (including AI).

Ensure licensing requirements are met and confidentiality is maintained across client, HR, and finance records. Reporting Structure: Reports to the Chief Strategy & Growth Officer and ownership. Core Competencies: Data-driven and analytical decision-maker Collaborative executive partner Strong systems thinker with a scalability mindset People-centered leader and team developer Mission-aligned and values-driven High degree of discretion; able to maintain confidentiality and HIPAA compliance Proficient with Microsoft Office and related business systems Qualifications: Bachelor's degree in Finance, Accounting, Business Administration, or related field (MBA and/or CPA preferred).

10+ years of progressive leadership experience across finance, HR, and administration. Demonstrated FP&A leadership in mid-sized organizations (approximately 50-200 employees). Preferred experience in healthcare, behavioral health, social services, or similarly regulated environments.

Direct experience with government billing and Medicaid strongly preferred. Strong background in compliance, audits, and internal controls. Proven success building and scaling teams.

Advanced financial modeling and analytical capabilities. Experience in growth-oriented or EOS-style organizations is a plus.
