Position Summary:

The Administrative Assistant will primarily function as support for the Heating and Cooling functions and initiatives. This position will be responsible for all aspects of administrative duties in addition to supporting any interdepartmental functions related to the HVAC department.

Responsibilities:

  • Assist with scheduling commercial service calls.
  • Preventative maintenance scheduling and account maintenance.
  • Assist customers with questions, concerns, and complaints.
  • Process credit card payments.
  • Contact customers with past-due balances and discrepancies.
  • Miscellaneous tasks for service manager and filed employees, as needed.
  • Scan and maintain files.
  • Submit quotes and create work orders.
  • Enter material requisitions and purchase order invoices.
  • Assist with warranty registration.

Requirements:

  • Ability to demonstrate key traits indicative of the HAYNES Way including integrity and professionalism.
  • Previous dispatch experience is a plus.
  • Willingness to interact with a variety of internal and external customers with a positive and service-oriented approach.
  • Excellent professional written and verbal communication skills.
  • Proven approach to critical thinking and problem-solving skills.
  • Willingness and ability to gain a working knowledge of HVAC functions.
  • Excellent computer skills including Microsoft Office Suite and the ability to learn various internal software program applications.
  • Ability to handle multiple comprehensive tasks at one time.
