Location: Rochester, NY (100% in the office)
Do you have legal administrative assistant experience? Are you excited about the opportunity to join an innovative, growing law firm that has been successful for more than 165 years?
Harris Beach Murtha is in search of a Legal Administrative Assistant to join our Trusts & Estates practice group in the Rochester, NY office. You will thrive in this role if you have:
  • 1+ years of experience as a legal administrative assistant
  • Knowledge of estate planning and estate administration (preferred)
  • A Notary Public License (preferred)
  • A high level of motivation, flexibility and initiative
  • The ability to follow through on numerous ongoing projects in a busy environment
  • Exceptional oral and written communication, and organizational skills
  • Strong proofreading and analytical skills to ensure top quality of legal documents
  • Proficiency with MS Office, including Word, Outlook and Excel, and able to efficiently use technology resources

The Trusts & Estates team needs a Legal Administrative Assistant to handle day-to-day administrative tasks to effectively manage the workload of multiple attorneys and paralegals. Do you have the drive and desire to:
  • Draft and finalize estate planning documents consisting of Last Will and Testament, Power of Attorney, Health Care Proxy, Trust, etc. in accordance with instructions from attorneys
  • Attend document executions acting as a witness and/or notary at the office and occasionally outside of the office
  • Coordinate and assemble document packages, including filings with local, state and federal courts and agencies, tabbing, copying, and scanning, as needed
  • Review, revise, and facilitate execution and recording of real property transfer documents
  • Assist with the intake of new clients, opening new matters and preparing necessary correspondence
  • Manage attorney contacts, calendar and scheduling (including travel), and phones
  • Process check requests, invoices from vendors, and attorney and paralegal expense reimbursement requests
  • Handle Surrogate's Court e-filing using the NYSCEF system
  • Follow-up with clients and other parties as needed and requested
