Job description

The Coordinator, Development Operations plays an essential role in supporting the operational infrastructure that powers World Central Kitchen's (WCK) fundraising efforts. As part of the Development Operations team, this position strengthens internal workflows, documentation, and administrative processes to ensure Development teams operate efficiently, accurately, and in alignment with organizational standards. The Coordinator brings strong project management skills, exceptional attention to detail, and a proactive approach to organizing and executing operational tasks.

This role supports a variety of Development functions, including maintaining SOPs, coordinating administrative processes related to legacy donations and donor documentation, supporting project tracking in Asana, and assisting with stewardship and special projects. The Coordinator helps identify workflow inefficiencies, recommends process improvements, and ensures consistent follow-up across tasks and cross-team initiatives.

Serving as a reliable and adaptable team member, the Coordinator collaborates closely with the Director of Development Operations and partners across fundraising teams to ensure smooth communication, timely delivery of materials, and well-documented processes. This position is ideal for someone who thrives in a dynamic environment, enjoys bringing clarity and structure to complex workflows, and is eager to learn new technologies in support of scalable fundraising operations. Occasional travel and work, including on evenings, weekends, and holidays, may be required.

WHAT YOU WILL DO
  • Coordinate and track operational tasks across the Development Operations team, ensuring deadlines and deliverables are met.
  • Establish, update, and maintain Standard Operating Procedures (SOPs) for key Development functions to promote consistency and clarity.
  • Support the Director, Development Operations with cross-team project management and process follow-up.
  • Manage administrative workflows related to legacy donations, including documentation, communication coordination, and internal processing requirements.
  • Support administrative processes associated with donor gifts, agreements, contracts, and internal approval workflows.
  • Maintain organized files, templates, and documentation for team-wide use.
  • Provide Asana project management support, including task creation, updates, reminders, and timeline monitoring.
  • Assist in identifying workflow inefficiencies and help implement streamlined processes to enhance operational effectiveness.
  • Learn and use internal systems (e.g., Salesforce, project management tools) to support team needs and improve daily operations.
  • Support a variety of donor stewardship and operational projects, such as:
    • Quarterly stewardship reports
    • Handwritten or personalized outreach projects
    • Presentation materials and donor-facing content
    • Activation support, including First Alerts
  • Contribute to various team projects as assigned

Requirements

  • Minimum of 2 years experience in development operations, fundraising administration, or related nonprofit support role.
  • Hands-on experience using a CRM platform, with Salesforce NPSP strongly preferred.
  • Strong project management skills with demonstrated ability to coordinate tasks, manage deadlines, and ensure follow-through across multiple priorities.
  • Demonstrated ability to effectively engage with donors, volunteers, and other constituents in-person, by phone, and in writing.
  • Exceptional attention to detail, accuracy, and organizational skills.
  • Demonstrated ability to take initiative, work independently, and thrive in a fast-paced, dynamic environment.
  • Ability to learn new technologies and platforms quickly; familiarity with Asana, Salesforce, or similar tools is a plus.
  • Proficiency in Google Workspace, Microsoft Office, and/or Apple applications.
  • Strong communication skills-written, verbal, and interpersonal-with the ability to engage donors, volunteers, and colleagues professionally.

Preferred candidates will also be multilingual.
