Position Purpose

We are looking to add great Freelance Event Production Coordinators (U.S. Based) onto our roster. By applying here you will be considered for upcoming short & long term contracts with TAIT. This application is not for full-time employment. The Freelance Production Coordinator is responsible for the administrative areas of assigned project(s) under the direction of the event management team.  This role supports and reports to the Project Manager and may interface directly with TAIT and Client executives. The Freelance Production Coordinator is responsible for creating and maintaining administrative resources overall for the event.  
Responsibilities
  • Create, maintain, and organize department documents, trackers, and shared resources.
  • Serve as a primary point of information for Heads of Department, staff, suppliers, and client representatives, helping direct questions and provide timely answers.
  • Manage meeting scheduling across multiple time zones, coordinating with executive leadership and suppliers to accommodate complex and changing availability.
  • Support department-wide and event-wide meetings (virtual, phone, or in-person) by scheduling meetings, preparing agendas, capturing and distributing notes, and updating action items and trackers to ensure clear communication and follow-through.
  • Maintain and update the event schedule based on input from department heads, working closely with Event Management to ensure changes align with overall event strategy.
  • Support Event Management in preparing reports and presentations that track progress, milestones, and key achievements.
  • Assist in developing the post-event After Action Report, including qualitative feedback and performance metrics gathered during event execution.
  • Coordinate the collection of post-event evaluation surveys from contractors to assess event success and identify opportunities for improvement.
  • Provide additional pre-production and project support as needed as the event and project scope evolve.
  • This role is fluid in nature and may vary by project phase based on needs.  

Position Requirements
  • Strong verbal and written communication skills with excellent interpersonal judgment. 
  • Positive, solution-oriented (“can-do”) attitude. 
  • Bachelor’s degree or a minimum of two years of event or related experience. 
  • Proficient with Microsoft Office (Outlook, Excel, PowerPoint) on Mac or Windows platforms. 
  • Experience with Airtable, Google Docs, or similar database/tracking tools (or willingness to learn). 
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. 
  • Able to work independently and collaboratively while exercising discretion, professionalism, and confidentiality. 
  • Responsive, adaptable, and comfortable working under pressure with changing priorities. 
  • Flexible to work evenings, weekends, and holidays as required by event schedules. 
  • Physically able to lift up to 30 pounds and stand for extended periods.
