Description
SUMMARY OF RESPONSIBILITIES
Responsible to the Library Director for administrative tasks, circulation functions, bookstack maintenance, processing materials, and other departmental tasks. This position assists library patrons with the collection and technology. Supports IAIA's mission, vision, and core values.
ESSENTIAL FUNCTIONS
• Works a 40-hour work week, currently Sunday - Thursday but subject to change. Sunday shift includes evening hours. Additional evenings may be required. May assist with opening and closing of library.
• Assists Library Director in all aspects of the department's operations
• Maintains a comfortable, secure and safe work and study areas
• Maintenance and troubleshooting of equipment such as the computers, scanner, printers, and more
• Performs administrative tasks, including but not limited to:
o Organizes library documents and records, both physically and electronically
o Oversees mail picks up and deliveries
o Inventories, organizes, and orders supplies as necessary
• Assists with financial processes, including but not limited to:
o Prepares purchase orders and check requisitions
o Assists with maintaining library's financial information and records and monitors expenditures
• Responsible for collection maintenance, including but not limited to:
o Makes sure materials are re-shelved and accessible
o Bookstacks shifting and signage
o Basic record maintenance
• Oversees and manages circulation functions, including but not limited to:
o Processes course reserves
o Responsible for fulfilling both electronic and print Interlibrary Loan requests
o Gathers statistical information and prepares reports as needed
o Oversees and manages billing for overdue and lost materials
o Oversees and maintains preparation of overdue notices
o Maintains a well-organized area so staff can work the desk
• Covers circulation/reference desk shifts, including but not limited to:
o Assists student, faculty, and staff in using the library, including location of library material, on-site reference and electronic databases
o Searches IAIA Library catalog
o Refers patrons to librarians when appropriate
• Processes new and donated materials, including but not limited to:
o Searches bibliographic utilities for item records
o Organizes library book sale
o Processes withdrawals
• Checks in and processes periodicals
o Files claims as needed
o Deaccessions periodicals as necessary
• Performs a range duties related to the oversight and direction of Student Workers assigned to the library, which include but is not limited to the following responsibilities:
o Supervises and schedules work study students as needed
o Trains student workers in library procedures, collection organization, and circulation
OTHER RESPONSIBILITIES
• Keeps abreast of library trends and computer technology, attends training sessions and classes when appropriate
• Participates in library and IAIA community meetings and events
• Compliance with IAIA policies
• Other duties as assigned
Requirements
REQUIRED EXPERIENCE AND EDUCATION
Minimum of Bachelor's degree with at least two years' experience with libraries (preferred), archives, or museums.
A combination of education and experience may fulfill minimum requirements of position. IAIA welcomes applicants with a range of experiences, backgrounds, and interests to apply for this position, including those new to the profession.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Library automated systems, office applications, and interpersonal skills coupled with strong oral and written skills. Ability to begin and complete projects independently in a timely manner. Ability to effectively communicate and work as a team with co-workers. Willingness to understand and demonstrate respect and sensitivity to Indigenous cultures is essential.
PREFERRED KNOWLEDGE, SKILLS AND ABILITIES
• Experience with non-traditional or first-generation students at an Indigenous serving institution or in a multicultural environment
• Knowledge of Indigenous knowledge systems and methodologies
• Working knowledge of OCLC systems
• Working knowledge of library classification systems including Dewey Decimal system
• Working knowledge of Microsoft applications, including Excel
• Working knowledge of Adobe applications
• Working knowledge of LibApps
• Working knowledge of Canva or other graphic design tools
• Occasional out-of-town travel for meetings and conferences using a personal vehicle or company vehicle.
