Job description


Position: Education Programs Coordinator (Health Professions Education Specialist 2/3)
Department: UCSF Department of Medicine - Division of HIV, Infectious Diseases & Global Medicine (HIVIDGM) at Zuckerberg San Francisco General (ZSFG)
Please note: this is a temporary assignment (6 months) with potential to extend.
The Education Programs Coordinator supports the Division of HIV, Infectious Diseases & Global Medicine by managing a broad range of educational, administrative, and program coordination activities. This role serves as the primary coordinator for fellowship and trainee programs, educational conferences, faculty support, and divisional initiatives. Working closely with Division leadership, the coordinator ensures educational programs operate efficiently, remain compliant with accreditation standards, and provide an exceptional experience for fellows, residents, medical students, faculty, and visiting trainees. The position requires strong organizational skills, independent judgment, and the ability to manage multiple priorities in a fast-paced academic medical environment.
Responsibilities
Responsibilities:
  • Coordinate fellowship, resident, and student educational programs, including onboarding, orientations, clinical rotations, credentialing, systems access, and learner support.
  • Plan and execute educational events such as Grand Rounds, Case Conferences, lecture series, fellow retreats, graduation events, and continuing medical education (CME) activities.
  • Manage event logistics, guest speaker coordination, reimbursements, accreditation documentation, and annual CME submissions.
  • Provide administrative support for divisional operations, including provider credentialing, physician time studies, academic appointments, provider rosters, website updates, faculty recruitment, and emergency preparedness planning.
  • Coordinate divisional meetings, staff events, and special projects while collaborating with faculty, trainees, hospital departments, and institutional partners.
  • Ensure compliance with university, hospital, ACGME, GME, and other regulatory and accreditation requirements while maintaining accurate program documentation.

Qualifications
Required
  • Bachelor's degree in Business Administration or a related field, plus at least three years of relevant administrative or operations experience (or an equivalent combination of education and experience).
  • 2-3 years of experience supporting clinical fellowship programs and administrative or financial operations.
  • Knowledge of health professions education, ACGME/GME requirements, and academic medical center operations.
  • Strong project management, organizational, analytical, and time management skills with the ability to prioritize competing deadlines.
  • Excellent verbal and written communication skills with demonstrated critical thinking and problem-solving abilities.
  • Ability to work independently and collaboratively while exercising sound judgment and maintaining confidentiality.
  • Experience with financial management, budgeting, and administrative systems.
  • Knowledge of university systems and academic medical center environments.

Preferred
  • Experience with data management, statistical analysis, and reporting.
  • Experience with Dreamweaver, HTML, or educational technology platforms.
  • UC experience with Medical Staff credentialing.
  • Experience supporting visa renewals for international trainees and scholars.
  • Experience managing research or training grants and fellowships.
