Purchasing Coordinator
Join Our Team:
We are seeking a detail-oriented and proactive Purchasing Coordinator to join our growing team. This role is responsible for managing the purchasing process from order placement through fulfillment, building strong vendor relationships, negotiating competitive pricing, and ensuring timely delivery of products. The ideal candidate thrives in a fast-paced environment, enjoys problem-solving, and excels at coordinating with suppliers, customers, and internal teams.

Key Responsibilities:
  • Create, process, and manage purchase orders with suppliers, vendors, and manufacturers.
  • Coordinate product procurement and fulfillment to ensure accurate and timely delivery.
  • Negotiate pricing, terms, and delivery schedules with suppliers to maximize value and cost savings.
  • Maintain strong relationships with vendors and manufacturers while monitoring supplier performance.
  • Track and follow up on order status, shipments, backorders, and delivery schedules.
  • Process and distribute purchase orders, invoices, and related purchasing documentation.
  • Review and analyze purchasing reports and ad hoc data to support business decisions.
  • Ensure customer requirements are accurately communicated and executed, including:
    • Product specifications and configurations
    • Quantity increases or decreases
    • Split shipments and multiple orders
    • Special customer requirements
    • Multiple shipping locations
  • Serve as a liaison between suppliers, customers, sales teams, and internal departments regarding order status, updates, delays, and fulfillment issues.
  • Resolve purchasing and fulfillment discrepancies while maintaining a high level of customer service.
  • Maintain accurate records and data within company systems and purchasing platforms.

Qualifications Required:
  • Proficiency in Microsoft Office, including Excel and Word.
  • Excellent verbal and written communication skills.
  • Strong customer service and relationship-building abilities.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving and follow-up skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Preferred:
  • Experience in purchasing, procurement, order management, supply chain, inside sales support, or related roles.
  • Knowledge of IT, technology, or Audio Visual (AV) products and solutions.
  • Experience working with ERP systems such as NetSuite, Quosal, or similar platforms.
  • Experience negotiating pricing and managing vendor relationships.
