Job description

Assistant Clerk Senior (Open)

This classification level is responsible for working under general supervision and providing a variety of specialized customer service, clerical and administrative support to multiple courts such as maintaining records, accounting/cashier and may be responsible for lead worker direction and assigning work providing to clerical staff. Responsibilities may include: scheduling court hearings, data entry, processing and maintenance of records e.g. entering new case filings, updating case filings; performing cashiering duties such as processing payments (e.g. fines, fees), balancing daily deposits; preparing and submitting routine documents and reports; performing receptionist duties of assisting public and staff by answering general questions regarding court operations for all court case types and procedures; and other clerical duties such as scanning, printing, copying documents.

May require performing bailiff duties for a jury trial, and being the liaison between the jurors and the judge from the beginning of the trial until the juror makes their decision.

Salary and Compensation:

  • Starting Salary: $42,863.87 annually (Hiring Rate).
  • Immediate Growth: Earn a 2.5% pay increase after successfully completing your probation period (if starting at Hiring Rate).
  • Starting Rate Flexibility: Higher starting pay may be considered based on education and experience, subject to final management approval.
  • Please Note: Candidates approved to start above the Hiring Rate (at or above the Minimum Permanent rate) are not eligible for the 2.5% post-probation increase.
  • Future Increases: Annual cost-of-living adjustments (applied on July 1) are subject to State Legislature approval.

Job Duties

  • Performs advanced office and administrative tasks in support of court operations; and serves as a lead to assigned clerical staff to include assigning and monitoring work and providing direction.
  • Schedules hearings with attorneys and other agencies; enters new case filings; prepares and records paperwork; prepares and distributes docket for court sessions; ensures completeness and accuracy of information and maintaining related records.
  • Preparing, reconciling and ensuring accuracy of specialized financial reports, invoices and budgets; processing payment (e.g. fines, fees, and balancing daily deposits).
  • Creating and preparing reports, spreadsheets and other documents using established templates or creating original documents.
  • Performs other duties of a similar nature or level.

Requirements/Qualifications

  • Minimum Qualifications: High School Diploma or equivalent (G.E.D.); and 3 years related experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

  • All educational credits must be granted from an accredited institution approved by the U.S. Dept. of Education.

Knowledge Requirements:

  • Customer service principles;
  • Cashiering and ability to read bank statements;
  • Knowledge of state and federal laws;
  • Knowledge of judicial, jail, and court system;
  • Filing and recordkeeping principles;
  • Modern office procedures, methods, and equipment;
  • Basic principles and practices in assigned area of responsibility;
  • Computers and related software applications.
