Job Description
TMCC's WebCollege is seeking a detail-oriented, people-friendly Office Assistant to join our team. Under the Director's direction, you'll help keep the department running smoothly - supporting students, faculty, and staff while managing day-to-day operations, including purchasing, budget tracking, software licensing, and general office coordination. If you're organized, dependable, and enjoy working in a collaborative academic environment, we'd love to hear from you.
Minimum Qualifications:
  • High school diploma or equivalent
  • 2 years of administrative, clerical, or office support experience
  • Proficiency with Microsoft Office and Google Workspace
  • Strong written and verbal communication skills
  • Excellent organizational skills, accuracy, and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Demonstrated customer service skills and professionalism
  • Ability to work both independently and as part of a team

Preferred Qualifications:
  • Experience with Workday or other enterprise software
  • Familiarity with Canvas or other learning management systems
  • Experience with purchasing or procurement processes
  • Experience in budgets and financial tracking spreadsheets
  • Bilingual in English and Spanish

Essential Duties and Responsibilities:
  • Provide administrative support to the Director and WebCollege staff, including scheduling meetings, preparing agendas, recording minutes, and coordinating logistics
  • Serve as a point of contact for departmental inquiries via phone, email, and in person
  • Coordinate daily office operations and help develop and maintain procedures that support efficient workflow
  • Develop and maintain spreadsheets, databases, and tracking systems for departmental operations and reporting
  • Coordinate purchasing activities, including preparing requisitions, processing invoices, reconciling receipts, and maintaining records in compliance with college purchasing procedures
  • Monitor departmental budgets and maintain expenditure tracking reports
  • Manage software subscriptions, licensing agreements, and maintenance contracts; coordinate with vendors on renewals, quotes, and billing issues; and proactively notify leadership of upcoming deadlines
  • Assist with planning faculty professional development workshops, training sessions, and special events
  • Maintain confidentiality of sensitive information and handle departmental records with sound judgment
  • Perform other duties as assigned

Knowledge, Skills, and Abilities:
  • Knowledge of general office administration and business procedures
  • Proficiency in Microsoft Office, particularly Excel, and Google Workspace
  • Ability to interpret and follow administrative policies and procedures
  • Ability to communicate effectively with a diverse range of stakeholders, including faculty, staff, students, and vendors
  • Ability to establish priorities, meet deadlines, and adapt to changing needs

Physical Requirements:
  • Ability to sit, stand, and walk for extended periods
  • Frequent use of computers and office equipment
  • Ability to lift and carry up to 25 pounds

Compensation & Schedule:
This is a part-time, hourly position paying $20-$21 an hour, generally 19 hours per week. The schedule may vary based on departmental needs.

Benefits
Part-Time Faculty can attend a paid Orientation, receive paid professional development training, receive tuition reimbursement through Grant-in-Aid, and receive longevity payments based on years of service. Part-time Faculty are not eligible for health benefits unless they meet specific workload requirements per semester. Those who meet the eligibility criteria can access a comprehensive and competitive benefits package.
