Job description

Job Title: DMV Specialist
Department: Administration
Supervisor: Controller
Summary Description
This position is responsible for proper titling of new, used, and wholesale units for the dealership. Knowledge of DMV laws along with providing a full range of administrative support is required. Daily work performed under the supervision of the Controller and requires a high degree of accuracy and time management.
Duties and Responsibilities
  • Ensures retail transactions are processed in a timely manner.
  • Prepares purchase and trade-in documentation.
  • Contacts backs to obtain lien releases.
  • Prepares tax and title documents.
  • Prepares necessary paperwork for submission to the tag agency.
  • Ensures the dealer's tag and title work meets state requirements.
  • Prepare and submit all legal transfer documents to the state department of motor vehicles.
  • Answer all customer inquiries in a professional manner.
  • Maintains a high level of confidentiality.
  • Negotiate through complex issues using available resources in the DMV and Dealer Finance Department to achieve a positive customer experience.
  • Other duties as assigned.

Qualifications & Job Requirements
  • Customer service background with phone and computer experience.
  • Strong organizational skills and attention to detail are essential.
  • Strong work ethic and willing to give 110% to get the job done correctly.
  • Professional demeanor.
  • High school diploma or equivalent.
  • At least one year of DMV experience required.
  • Must be computer literate and proficient with Microsoft Office Suite, along with general email/internet.
  • Experience using various Google Drive applications to include but not limited to Google Sheets and Google Docs a plus.
  • Certified or certifiable with CA DMV live scan (if applicable).
  • Must be able to multitask and input data with accuracy and efficiency in a high paced environment.

Physical Demands
  • Frequently works on a computer in a typical office environment.

Working Conditions
  • The noise level in the work environment can be loud at times.
  • Potential exposure to battery acid, gasoline, chemical cleaning materials or other toxic materials commonly found in a motor vehicle service department.
  • Occasionally exposed to exhaust fumes or other airborne particles.
