Job description

The Education Operations Coordinator plays a pivotal role in supporting the daily operations of the Education department for both Interlochen Arts Academy and Interlochen Arts Camp. This position primarily assists with day-to-day administration and projects related to education operations, including communications, scheduling, registrar support, coordination of events and initiatives, and liaising with various other departments to ensure smooth communication and workflow.

Essential Duties & Responsibilities:

  • Provides general administrative support for the Education department and its programs, including support for the Vice Provost, Associate Vice Provost, Associate Director of Communications, Registrar, and other key Education personnel
  • Supports the Vice Provost with calendar and communications management, clerical tasks, general office support, and administrative meeting support
  • Coordinates with Interlochen Presents on Community Meeting logistics and prepares contracts for educational guest artists
  • Assists with the management of the Student Representative Board and coordinates summer storage for Academy students
  • Builds and maintains Camp and Academy master schedules, working across departments to assign classroom spaces, instructors, classes, lessons, and other program activities
  • Compiles and maintains class and program rosters and ensures the accuracy of student, camper, and faculty schedules
  • Creates and distributes individual student and camper schedules, including private lesson scheduling
  • Works with division directors, faculty, and students to manage adds, drops, roster adjustments, and scheduling questions
  • Assists with the collection of Academy term and midterm grades and Camp end-of-session student feedback reports
  • Supports Registrar projects including transcript auditing, student record tracking, Camp program feedback tracking, graduation and senior honors audits, and other student data needs
  • Collects and maintains student data in support of Interlochen's partnership with Indiana University
  • Supports Education Operations and Technology projects through data entry, research report preparation and proofing, database cleanup, and contact list preparation
  • Provides Learning Management System (LMS) support and assists with the creation of reports and dashboards for faculty and staff
  • Assists the Executive Assistant to the Provost with the planning and execution of major institutional events, including Opening Weekend, registration, Family Weekend, graduation, and other events as needed
  • Supports Education communications through email and inbox management and assists with the Family Info Webinar Series
  • Serves on the Yearbook Committee and supports related projects
  • Assists with auxiliary program functions, operational projects, and cross-departmental initiatives as needed
  • Prioritizes responsibilities in alignment with organizational objectives and changing departmental needs
  • Performs other duties and projects as assigned

  • Bachelor's degree preferred
  • Experience with Google Workspace, including Gmail, Google Docs/Drive, and Google Calendar, preferred
  • Experience with Salesforce preferred
  • Experience with Canvas, Airtable, Trello, Attendance, and/or other Learning Management Systems (LMS) preferred
  • Familiarity and experience with Mac products preferred
  • Strong technical aptitude required
  • Superior attention to detail required
  • Ability to work effectively in a fast-paced environment with frequent interruptions and ad hoc requests
  • Ability to manage multiple projects concurrently and shift priorities and focus as needed
  • Ability to work effectively with a wide variety of individuals and departments
