Our Talent Acquisition team drives the hiring journey from first contact through onboarding, and we're seeking a detail-oriented, tech-savvy Talent Acquisition Coordinator who can manage Workday-driven processes across screening, assessments, compliance, and new-hire onboarding logistics.
Role Summary
The Talent Acquisition Coordinator plays a key role in advancing candidates through the Workday ATS while supporting high-volume virtual recruitment. This includes hosting screening sessions, facilitating assessments, managing Workday candidate movements, processing compliance checks, and coordinating SKO/onboarding tasks with HR, IT, Training, and the ID Admin Team.
This role requires accuracy, speed, Workday fluency, and strong virtual facilitation and administrative skills.
Key Responsibilities
1) Workday ATS Management & Candidate Movement
  • Move candidates through Workday Recruiting stages, including but not limited to:
    Application → Screening → Assessment → Recruiter Interview → Offer → Pre-Employment → Ready to Hire
  • Update and maintain candidate statuses, notes, and milestones ensuring 100% accuracy.
  • Upload and verify candidate documents within Workday (IDs, test results, forms).
  • Create, assign, and monitor Workday tasks (e.g., I-9, background check initiation, assessments).
  • Maintain clean Workday pipelines, ensuring no candidates are stalled in incorrect steps.
  • Disposition candidates according to Workday reasons/codes to maintain compliance and reporting accuracy.
  • Generate or pull Workday reports for daily tracking, pipeline updates, and audit accuracy.

2) Candidate Screening & Early Evaluation (Virtual)
  • Host virtual group screening sessions (10-15 candidates per session).
  • Deliver a clear Realistic Job Preview (RJP) and answer candidate questions.
  • Review Workday screening questionnaire responses and assess candidate fit.
  • Determine eligibility and move candidates forward or disposition them directly in Workday.
  • Meet daily screening throughput goals and maintain consistent decision quality.

3) Assessment Facilitation & Monitoring
  • Set clear expectations for LOB-specific assessment thresholds.
  • Launch assessments through Workday or connected vendor integrations (e.g., SHL, Criteria, Harver).
  • Monitor live assessments ensuring candidates stay on camera and on task.
  • Validate bandwidth test results and workspace readiness.
  • Evaluate assessment outcomes and update Workday statuses accordingly.
  • Reschedule candidates or disposition them per assessment results and TA policy.

4) Pre-Employment & Compliance Management (Workday)
  • Initiate and track:
    • Background checks (via Workday-integrated vendor)
    • Drug tests
    • I-9 / Right-to-Work tasks and documentation
  • Communicate with HR for required approvals or escalations.
  • Manage candidate follow-ups for pending Workday tasks.
  • Ensure all compliance steps are completed before moving candidates to Ready to Hire.

5) SKO / New-Hire Coordination & Equipment Management
  • Serve as a welcoming ambassador to new hires.
  • Prepare candidates for HR onboarding steps by sending Workday-generated tasks and instructions.
  • Conduct workspace validation checks (lighting, environment, internet speed).
  • Coordinate with IT/Depot for equipment ordering, tracking, and delivery.
  • Partner with ID Admin to request, activate, or cancel new-hire credentials.
  • Provide weekly onboarding updates to TA, Training, and HR.

6) Reporting, Accuracy, and Communication
  • Maintain up-to-date Workday candidate records for audit readiness.
  • Pull daily Workday requisition reports, stage movement reports, and candidate history logs.
  • Communicate risks, delays, assessment concerns, or candidate issues proactively.
  • Provide talent pipeline updates across Screening → Assessment → Interview → SKO.

Qualifications
Required
  • 1-2 years of experience in Talent Acquisition, Recruiting Coordination, HR, or virtual facilitation.
  • Hands-on experience with Workday Recruiting (candidate movement, tasks, requisitions, reporting).
  • Strong skills in virtual communication, facilitation, and customer service.
  • Excellent attention to detail and accuracy in data handling.
  • Proficiency with Zoom/Teams, Microsoft Office or Google Workspace.
  • Ability to manage high-volume processes and multitask in a fast-paced environment.
  • High professionalism when handling confidential information.

Preferred
  • Experience in BPO, call center, or high-volume hiring.
  • Workday experience with:
    • Stage-based candidate pipelines
    • Assessments integration
    • Workday reporting & saved filters
    • EIB or mass update familiarity (nice-to-have)
  • Knowledge of compliance: background checks, drug tests, I-9, and employment documentation.

Success Metrics (Workday-Aligned)
  • Zero candidates stalled in incorrect Workday stages.
  • 100% on-time completion of Workday tasks (I-9, BGC, drug tests).
  • High throughput in screening and assessment facilitation.
  • Accuracy in disposition reasons for reporting and compliance.
