JOB SUMMARY

The purpose of this position is to assist with managing the day-to-day operations and to meet the values, guiding principles, operating and strategic goals of GMR. The Administrative Supervisor will work with all members of the local team to develop, implement and maintain necessary reports and documentation to ensure compliance with established operational goals and objectives, make financial decisions in accordance with assigned fiscal and volume budgets, and assure compliance and logistics with procurement of supplies, equipment, and materials for the air medical and ground program. This position requires on-site presence to support local operations. This leader is responsible for elements that are assigned to the logistics division. In addition, this position must support the GMR values through demonstrated actions.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Customer Service and Team Support

  • Demonstrate that internal customers are as valuable as external customers by showing appreciation, professionalism, and respect for all team members.
  • Act as a resource to employees by helping resolve problems, improve effectiveness, and support consistent, fair treatment.
  • Role model appropriate behaviors consistent with GMR’s Vision and Guiding Principles.

 Supply, Equipment, Fleet, and Facility Management

  • Oversee medical supplies, inventory, and designated supply areas to ensure appropriate stock levels and readiness.
  • Monitor the flight readiness of medical crew bags and supplies.
  • Track medical equipment, including equipment returned from out-of-service events, and ensure compliance with annual inspection requirements.
  • Manage inventory, including vehicle fleet resources, in a cost-effective manner.
  • Coordinate ground vehicle fleet and facility maintenance within the program.

Compliance, Quality, and Process Improvement

  • Ensure compliance with and enforcement of all applicable company policies, procedures, and GMR requirements.
  • Monitor compliance with OSHA, EEO, and applicable local, state, and federal laws governing business and employee relations.
  • Design, implement, and maintain processes that support operational quality, efficiency, and continuous improvement within the Logistics division.
  • Monitor success measures and make appropriate process modifications to improve performance.
  • Maintain awareness of industry trends that may affect the program.

Incident Response, Disaster Planning, and External Coordination

  • Conduct comprehensive investigations of incidents and complaints involving designated units or personnel, collaborating with direct supervisors to achieve effective resolution.
  • Establish and maintain disaster planning processes, taking control of situations as needed during disaster events.
  • Interact with public and private emergency relief providers as appropriate.

Projects, Reporting, and Organizational Support

  • Prepare reports and manage projects assigned by the Program Director.
  • Share information with regional teams, other GMR operating companies, and GMR Corporate partners to support best-practice adoption.
  • Assist with and, as appropriate, attend public relations events and activities that promote the division and GMR.
  • Develop plans and implement actions that support the quick and effective integration of new companies into the GMR family.
  • Travel moderately to assigned areas of responsibility.

Projects, Reporting, and Organizational Support (cont.)

  • Comply with information systems security policies and procedures, attend required security training, and report information systems security concerns.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Experience:

  • Minimum 1 year of EMS field experience preferred
  • Prior administrative experience preferred

Education: 

  • High School Diploma or equivalent (GED). Minimum of 18 years of age
  • Some advanced education preferred

Skills: 

  • Strong leadership and decision-making skills
  • Strong listening and comprehension skills
  • Ability to adapt to quickly evolving situations
  • Effective oral, written, and interpersonal communication skills
  • Good working knowledge of Microsoft Office (including Word and Excel)

Credentials/Licenses: 

  • State Driver’s License with driving record in compliance with GMR’s Safety & Driving policy (proof required if conditional employment is made)

WORKING CONDITIONS AND MENTAL/PHYSICAL REQUIREMENTS

Working Conditions:

  • This position requires operating in and around aircraft(s) and/or driving an emergency vehicle(s) throughout shifts of varying durations, walking on uneven or slippery ground; exposure to various weather conditions, day and evening shifts; potential exposure to dust, gas, fumes or chemicals; working at heights and/or in confined spaces; and potential for exposure to blood-borne pathogens, known and unknown medical conditions (protective materials are provided and precautions are required).
  • This position is not intended to regularly perform these functions

Physical Demands:

Hearing: Must be able to hear and understand information provided by GMR staff, Emergency personnel, hospital representatives and others; must be able to differentiate separate conversations; must be able to hear and understand radio traffic.

Speech: Must be able to speak and communicate clearly and at a level audible to others, must be able to speak clearly, must be able to verbally communicate with GMR staff, Emergency personnel, hospital representatives and others.

Vision: Requires ability to identify and distinguish colors, clear vision at 20 inches or less (close vision) and clear vision at 20 feet or more (distant vision), peripheral and depth vision, as well as ability to adjust focus.

Mental Requirements:

Must be able to handle novel and diverse work problems daily. Personal maturity and sound judgment are important attributes.

  • Must be able to relate, communicate and interact with people at all levels within the Company and at customer facilities, as well as with people of diverse backgrounds, age levels ranging from infant to senior, disparate levels of comprehension, and potentially dealing with confused and agitated patients or family members.
  • Requires ability to analyze, evaluate, compare, and compile information, and the ability to coordinate, communicate, and instruct.

Mental Requirements (cont.):

  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as percentages, ratios, and proportions to practical situations.
  • Reasoning: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
