We are seeking Experienced candidates to work full time hours in office services to join our team in NYC! Ideal candidates will be ready to grow their career in office services, and to take advantage of internal opportunities at IST Management for training and development toward advancement into management roles. The Event Coordinator will be responsible for fostering a professional and pleasant working environment by providing excellent customer service in the fields of hospitality services and coordination. 

Hours: 8am to 5pm Monday - Friday and must be able to work over time both earlier and later if requested

Hourly Compensation: $33/hr-$35/hr USD

Responsibilities

The Office Event Coordinator is responsible for providing on-site White Glove / Five Star Hospitality service and back-up reception duties:

  • Intake and post events
  • Menu refreshing
  • Client collaboration for set-ups and presentations
  • Greetings clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts them to the appropriate location
  • Managing all event activities, internal and external meetings, food deliveries, food placement, beverage service
  • Assist with conference room breakdowns and set-ups along with general clean-up of the office spaces where hospitality is being performed
  • Back-up Switchboard Operation - Answers, screens, and direct phone calls to staff or take messages when needed
  • Assist with conference room location and appointments
  • Performs administrative and clerical support tasks such as ordering supplies and maintaining inventory
  • Maintain all logs and reporting documentation; attention to detail
  • Adhere to all safety procedures; perform other tasks as assigned
  • Performs other duties as assigned

In addition:

Employee may be required to wear maitre de type uniform and MUST comply with professional dress code and standards as outlined below:

- Employees are expected at all times to present a professional, business-like image to customers, prospects and the public

- Lip piercings, Facial jewelry in excess of " size, and neck/face tattoos are prohibited

- All attire should be clean, neatly pressed and not wrinkled

- All IST employees should maintain proper grooming and personal hygiene

- Hair as well as facial hair should be neatly trimmed, with only natural hair colors 

- Collared shirt (long sleeve dress shirt, short sleeve button up, polo style)

- Dress slacks, khakis

- Closed toed dress shoes

- Hair should be neat with only natural hair colors 

- Appropriate dress should not reveal midriff, cleavage or the lower back

- Blouse, sweater or collared shirt

Qualifications

Ideal candidates have the ability to confidently interact with clients and visitors, possess excellent communication abilities, and are ready to grow in their professional career. Previous experience in a high end Hotel, Restaurant or Corporate Services

  • High School Diploma or GED required; authorization to work for any employer in the US required 
  • Must comply with professional dress code and standards as outlined in IST Employee Handbook
  • Microsoft Office proficiency required and may be tested; Relevant hospitality/ administrative experience with high visitor and call volume in a medium-to-large-sized organization preferred
  • 45 wpm typing skills, good spelling and grammar, and basic knowledge of Microsoft Office suite; Effective and professional verbal communication skills; English is required; other languages are a plus
  • Strong organizational skills and calendar management skills; Resourceful in problem-solving and meeting client/visitor needs
  • Professional appearance and outgoing positive demeanor
  • Ability to write, read and comprehend correspondence, memos, emails, and basic instructions
