The Gift Shop Manager leads inventory planning, sales analysis, vendor relationships, financial accountability, staffing strategy, and long-term retail vision while cultivating a welcoming and mission-aligned shopping experience for all Gift Shop patrons. This position will work collaboratively across departments to align retail goals, organizational alignment, seasonal programming, fiscal goals, and donor/audience engagement initiatives.

Principal Duties andย Responsibilities (Essential Functions*):ย 

Retail Leadership & Strategyย 

  • Provide overall management and direction for all Gift Shop operations.ย 
  • Develop and implement retail strategies that support revenue growth, customer service engagement, and organizational values.ย 
  • Establish seasonal and annual sales goals andย monitorย progress toward targets.ย 
  • Identifyย trends, opportunities, and challenges through sales reporting and retail analytics.ย ย 
  • Create long-range purchasing and merchandising plans aligned with audience behavior, productions, and seasonal traffic patterns for buyers.ย 
  • Continuously evaluate and improve operational systems, workflows, and customer experience standards.ย 
  • Ensure all employment practicesย comply withย federal, state, and local laws and best practices including workersโ€™ compensation, anti-discrimination, and employee relations.ย 

Purchasing & Inventory Managementย 

  • Lead allย purchasingย strategy, oversee production selection and vendor negations in collaboration withย Finance Department and Gift Shop Buyer.ย 
  • Maintain balanced inventory levels through forecasting, trend analysis, and sales performance reviews.ย 
  • Oversee inventory control processes including receiving, transfers, returns, cycle counts, and annual physical inventory.ย 
  • Analyze product performance and make data-informed decisionsย regardingย reorder, markdown, and production discontinuation.ย ย 
  • Build andย maintainย strong relationships with local artisans, vendors, and retail partners.ย 
  • Ensure merchandise mix reflects OSF branding, programming, and patron interests.ย 

Data Analytics & Financial Oversightย ย 

  • Monitor and analyze sales data, labor metrics, inventory turnover, and profit margins.ย 
  • Prepare regular sales and operational reports forย Director of Operations.ย 
  • Develop and manageย Gift Shop budget. Adhere to all Financial policies, and procedures.ย ย 
  • Identifyย opportunities to increase profitability whileย maintainingย quality and guest satisfaction.ย 
  • Oversee cash handling procedures and ensureย accurateย financial reconciliation practices.ย 
  • Utilizeย Square Softwareย reporting systems to support forecasting and operational decision-making.ย 

Staffย Managementย & Developmentย ย 

  • Hire, train, supervise, schedule, and evaluate Gift Shop Assistant Managersย and Volunteers.ย 
  • Foster a collaborative, inclusive, andย organizational, donor and customer-centered team culture.ย 
  • Delegate operational responsibilities effectively whileย maintainingย accountability and consistency.ย 
  • Provide coaching, performance feedback, and professional development opportunities.ย 
  • Ensure staff are knowledgeable about products, productions, events, and organizational initiatives.ย 

Guest Experience & Merchandisingย ย 

  • Maintain high visual merchandising and presentation standards throughout retailย floor and window displays.ย 
  • Ensure exceptional customer service and a welcoming environment for all.ย 
  • Collaborate with Marketing, Production, and Development teams on retail promotions and themed merchandise opportunities.ย 
  • Supportย special events, opening nights, donor functions, and festival initiatives as needed.ย 
  • Resolve guest concerns professionally and effectively.ย 

Operational Managementย ย 

  • Ensure compliance with organizational policies, safety standards, and operational procedures.ย 
  • Maintainย accurateย retail records, reporting documentation, and vendor files.ย 
  • Oversee shop maintenance needs and coordinate withย Facilitiesย as necessary.ย 
  • Manage operational priorities in a fast-paced, high-volume seasonal environment.ย 

Internal & External Relationsย ย 

  • Enable creative thinking, problem-solving, and collaboration.ย 
  • Notify Directorย of Operations of significant issues related to budget, safety, facilities, employee relations, sales goals, or other items of significance.ย 
  • Work closely with departments to secure and develop production and programs aligned with festival offerings, including plays, lectures, tours, Green Show, educational programs, and merchandise built by organizational artisans.ย 
  • Attend OSF productions and educational opportunities to better understand and reflect the artist and audience perspective.ย 
  • Build and sustain professional relationships with company members, volunteers, members, donors, and stakeholders.ย ย 

Otherย ย 

  • Model and enforce a high standard of professional, knowledgeable, and ambassador level of customer service.ย 
  • Oversee andย participateย in mail, phone, or other order fulfillment, including securing product, processing sales, packaging, and shipping in collaboration with the Office Manager.ย 
  • Perform other duties as assigned.ย 

Minimumย Qualifications & Skills:ย ย ย 

  • Bachelorโ€™s degree in Retail Management, Business Administration, Hospitality, Arts Administration, or related field preferred; equivalent experience considered.ย 
  • Minimum 3โ€“5 years of responsible retail management experienceย required.ย 
  • Experience with inventory management, merchandising,ย purchasing, and staff supervisionย required.ย 
  • Demonstrated ability to analyze sales data and use reporting tools to guide decision-making.ย 
  • Strong financial acumen and budgeting experience preferred.ย 
  • Experienceย managing inย a seasonal, hospitality, arts,ย museum store,ย or tourism-based environment is highly desirable.ย 
  • Proficiencyย withย Squareย POS system/inventory softwareย andย Microsoft Office Suite.ย
