About the Department:
The Office of Advancement and Alumni Relations division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 135 FTE. Functional units within Advancement include development/fundraising, alumni relations, donor relations and stewardship, advancement communications, special events, gift processing, research, prospect management, gift planning, corporate and foundation relations, information systems and management, and infrastructure services.

About the Position:
This position has primary responsibilities for supporting the Office of Alumni Relations with marketing, engagement project management, and programmatic event support.
Responsibilities:
Alumni Relations Marketing
  • Assists in the development and distribution of alumni marketing and communication materials both paper and digital;
  • Coordinates email campaigns, newsletters, social media content, and promotional outreach to alumni audiences;
  • Maintains communication calendars and support branding consistency across alumni engagement initiatives;
  • Tracks and reports engagement metrics related to communications and marketing campaigns; and
  • Collaborates with internal departments to promote alumni programs, events, and initiatives.

Engagement Project Management (emails, texting, programmatic scheduling)
  • Coordinates alumni engagement projects including email outreach, text messaging campaigns, and program scheduling;
  • Maintains project timelines and ensure timely execution of engagement activities;
  • Manages audience lists and communication workflows using constituent relationship management (CRM) systems and communication platforms;
  • Monitors campaign performance and assists with data analysis and reporting; and
  • Supports efforts to increase alumni participation, volunteerism, and program attendance.

AVP Event Support
  • Provides administrative and logistical support for events led by the Associate Vice President (AVP);
  • Assists with event planning activities including scheduling, registration, and onsite support;
  • Designs and implements the marketing and communications schedule for AVP events, ensuring that all division wide event protocols are followed in regards to VIP events, including post-event communications; and
  • Supports stewardship and relationship-building efforts associated with leadership events.

Programmatic Event Support/Other Duties as Assigned within the scope of the role
  • Assists in planning and executing alumni programs and events, both in-person and virtual;
  • Supports volunteer engagement and event participation efforts; and
  • Maintains accurate event records and assist with post-event evaluations and reporting. in programs and events.

Required Qualifications:
  • High school diploma or equivalent;
  • General experience (typically around 2 years) in marketing and design;
  • General experience (typically around 2 years) with MicroStrategy reporting;
  • Fluency with Canva, Adobe Cloud Suite, Photoshop, and InDesign;
  • Knowledge of communication and marketing best practices;
  • Knowledge of best practices for digital/social media marketing;
  • Strong graphic design skills;
  • Excellent writing and communication skills;
  • Meticulous attention to detail;
  • Outstanding customer service skills demonstrated by the ability to interact effectively with administrators, faculty, and staff as well as partners outside of the university;
  • Excellent organizational and prioritization skills; and
  • Ability to work occasional evenings and weekends.

Preferred Qualifications:
  • Bachelor's degree in related field;
  • Experience in higher education;
  • Demonstrated experience working effectively with staff and external constituents;
  • Experience with Affinaquest (Salesforce) or similar software;
  • Knowledge of alumni relations principles and best practices; and
  • Skill in effectively coordinating with volunteers.
